Head of Meetings Operations

$175,000 – $250,000 per year

TLDR

Lead the team responsible for a fully managed meetings service that generates thousands of qualified meetings monthly for customers by building effective outreach systems.

Vendelux is transforming how companies discover, evaluate, and maximize the impact of events.

Event marketers are the driving force behind pipeline and brand — yet events remain one of the least optimized and most opaque marketing channels. Vendelux changes that. We provide the system of record for event marketing, giving teams the data and insights they need to make smarter, more strategic decisions.

Our AI-powered platform delivers proprietary insights across 250,000+ events, helping high-growth companies identify where their ideal customers will be, maximize ROI, and turn events into a scalable growth channel. Customers often describe Vendelux as an event marketer’s dream. A key part of this is our growing network of event organizer partnerships — where organizers share first-party attendee and sponsorship data, and in return gain access to valuable market insights.

In addition, Vendelux Meetings helps customers turn event insights into action — using AI to identify high-value attendees and automatically book 1:1 meetings with the right prospects at conferences. This allows teams to maximize pipeline generation and make every event materially more impactful.

Founded in 2021, Vendelux is a Series A SaaS company backed by leading investors including FirstMark, with a recent $14M round. Our team brings experience from companies like Bain, ZoomInfo, Shutterstock, Compass, Forter, Airbnb, and more.

We're hiring a Head of Meetings Operations to own and scale the engine behind one of Vendelux's fastest-growing products: a fully managed meetings service that generates thousands of qualified meetings per month for our customers.

You'll own the people, the process, the operational infrastructure, and the product requirements that power customer outcomes. You'll lead a team of Campaign Managers and cold callers, build the systems that make outreach predictable and scalable, and serve as the connective tissue between execution, customer success, and product development.

You're comfortable operating at both 5,000 feet and 5 feet. You can design a strategic operating model in the morning and diagnose why a campaign's show rate dropped in the afternoon. You don't wait to be told what's broken—you build the systems that surface problems before they escalate.

What You'll Own

Lead & Develop the Meetings Team

  • Manage, coach, and develop a team of Campaign Managers and cold callers.

  • Build a culture of ownership and accountability—shifting from reactive task execution to proactive, quality-driven performance.

  • Set clear performance standards across volume and quality metrics; create visibility and accountability without relying on pressure tactics.

Own the End-to-End Outreach Engine

  • Define strategy and best practices for targeting, sequencing, personalization, and multi-channel engagement across email, cold calling, LinkedIn, and emerging channels.

  • Own the full campaign lifecycle—from launch to QA to performance review—ensuring campaigns hit quality standards and scale efficiently across 200+ customers.

  • Own meeting quality end-to-end — ensuring every campaign delivers genuine value to customers, and build the feedback loops and playbooks that make high-quality outcomes repeatable at scale.

Drive Operational Excellence

  • Build the systems, SOPs, and SLA tracking that make execution predictable at scale—removing manual bottlenecks faster than the business creates them.

  • Use AI tools and automation to reduce oversight burden and free Campaign Managers from tactical work so they can focus on strategic optimization.

  • Define the KPIs, dashboards, and alerting that surface problems before they escalate—giving leadership and customers real-time confidence in campaign health.

Own Product & Cross-Functional Requirements

  • Serve as the primary voice of the Meetings product internally—translating operational pain points and customer outcomes into clear product and automation requirements for Engineering and Product.

  • Partner with Customer Success to align on customer goals, onboarding, and campaign performance.

  • Bring insights back to the business to improve product, messaging, and GTM strategy.

What We're Looking For

  • 8+ years in Operations, or roles involving process design, cross-functional coordination, and team management.

  • Proven success building and scaling operating models in a fast-paced, high-growth environment—ideally from early-stage foundations.

  • Strong people manager with experience developing frontline execution teams

  • Familiarity with B2B cold outreach mechanics—email deliverability, cold calling at scale, sequencing, and the tooling that powers them (e.g., Apollo, Salesloft, Zapier, or equivalents).

  • Analytical mindset with a track record of diagnosing operational bottlenecks and improving performance through data.

  • Comfortable with ambiguity—energized by building structure where none exists, and capable of moving fast without a complete playbook.

  • Strong communicator who brings clarity to complex workflows and can work effectively across Customer Success, Product, and Data teams.

Why Join Us

  • Impact: Own the team and systems behind one of Vendelux's highest-growth products—directly tied to customer ROI and retention.

  • Ownership: Build the operating model, team structure, and product requirements from the ground up. This is a true GM role, not an execution-only position.

  • Innovation: Work at the intersection of AI, B2B outreach, and GTM systems—shaping how companies convert event interest into pipeline.

Not all candidates will check all of the requirements listed above and that’s ok! We are open to great people from non-traditional backgrounds.
