HCP Engagement Associate - Temporary (Italian speaker)

Primary Function of Position:

The main role of the HCP Engagement Associate is to centralize and coordinate efforts in obtaining and organizing the necessary documentation of engagements between Intuitive and Heath Care Professionals (HCP), consistently delivering high-quality service to ensure the best possible customer experience with every interaction.

This position helps coordinate key activities and processes related to Intuitive events with HCPs for Customer Training, Sales, Marketing (and others), provide the support required to meet specific local HCP Compliance requirements.

The role evolves in a fast growing and highly regulated environment, with a focus on scalable solutions and process efficiency through automation.

Roles and Responsibilities:

  • Provide administrative support for activities and events involving HCPs, in coordination with Sales, Marketing, Customer Training, and other teams.
  • Assist in collecting, organizing, and maintaining required documentation for HCP interactions.
  • Support multiple internal stakeholders, all the way from HCP nomination, contracting, onboarding, event execution, to reimbursement/payment and follow up.
  • Learn to utilize company systems (e.g. SFDC, Smartsheet) to input data, track progress, and manage event resources.
  • Help coordinate distribution of necessary information and documents to HCPs (e.g. agendas, invitations, certificates).
  • Assist in processing basic compliance documentation, ensuring timelines and proper records.
  • Support established workflows in areas like compliance admin support, and metric reporting.
  • Help maintain documentation for standard operating procedures and compliance tracking.
  • Liaise with internal teams (e.g. HCP Compliance, Legal, Customer Support) and external HCPs and authorities.
  • Demonstrate attention to detail in all tasks, escalating questions or issues to more experienced team members or management as needed.
  • Provide excellent customer support and uphold Intuitive’s commitment to quality and integrity.
  • Participate in training and ongoing learning to increase understanding of compliance, regulations, and HCP event organization.
  • Assist with other tasks and projects as assigned, in line with business and company objectives.

Required Knowledge, Skills, and Experience:

  • Bachelor’s degree or equivalent practical experience preferred.
  • Perfectly fluent in English and Italian. 
  • Excellent verbal and written communication.
  • Strong organizational skills and keen attention to detail.
  • Demonstrated ability to learn quickly and operate efficiently in a team environment.
  • Basic proficiency with Microsoft Office (Excel, PowerPoint, Outlook).
  • Familiarity with web-based tools and systems; willingness to learn platforms such as SFDC, Smartsheet, or equivalent.
  • High level of integrity and commitment to upholding processes and confidentiality.
  • Professional, proactive, and customer-focused attitude.
  • Experience in medical technology, healthcare, or regulated industries and knowledge of compliance practices are an advantage but not required.
