Role Overview

The Grant Workflow and Application Support Specialist owns the backend workflow that enables consistent, scalable grant activity without relying solely on founder bandwidth. You will manage the end-to-end grant pipeline—from opportunity sourcing and qualification through drafting support and submission tracking. This role is ideal for a process-oriented operator who excels at organizing complex requirements, producing clean first drafts, and keeping multiple applications moving simultaneously. The role requires strong coordination, attention to detail, and comfort in cross-functional environments.   • Increase visibility into funding opportunities and maintain a structured opportunity matrix.
  • Support high-quality grant materials that reduce founder review time.
  • Ensure deadlines and follow-ups are met to maximize funding potential.
  • Enable operational efficiency by maintaining reusable draft libraries and workflow documentation.

Core Responsibilities

Grant Sourcing & Qualification

  • Identify aligned funding opportunities using grant database subscriptions.
  • Maintain a structured grant opportunity matrix with clear fit notes and next actions.
  • Triage opportunities into defined fit categories based on priorities and alignment.
  • Summarize deadlines, funding focus, and eligibility requirements accurately.

Grant Drafting Support & Documentation

  • Extract and organize application requirements (questions, word limits, attachments).
  • Produce structured first drafts of LOIs and proposal responses using approved workflows.
  • Leverage AI tools responsibly to support drafting while ensuring review-ready outputs.
  • Maintain clean formatting, labeled sections, and sourced information for easy team review.

Pipeline Management & Workflow Operations

  • Maintain real-time visibility into pipeline stages from sourced to submitted.
  • Build and manage a reusable response repository for recurring grant questions.
  • Track deadlines, follow-ups, and required actions to prevent missed opportunities.
  • Flag bottlenecks early and proactively move opportunities forward.

Coordination & Reporting

  • Support scheduling and preparation for foundation meetings.
  • Provide weekly updates on pipeline status, deadlines, and risks.
  • Align with internal points of contact on review cadence and approvals.

Requirements

Must-Haves (Required)

  • Strong written English with the ability to summarize complex requirements clearly.
  • Exceptional attention to detail across deadlines, word counts, and required components.
  • Comfort operating within structured workflows, trackers, and documentation systems.
  • Ability to produce high-quality draft grant materials without full program ownership.
  • Proactive follow-through and ownership of pipeline momentum.
  • Comfort using AI tools responsibly to support drafting and organization.

Nice-to-Haves (Preferred)

  • Prior experience supporting grant research, LOIs, or proposal workflows.
  • Familiarity with building reusable content libraries or response repositories.
  • Experience working with small, founder-led or lean teams.
  • Light project management experience managing parallel workstreams.
