The opportunity.

Quantexa is looking for a Global Facilities Manager on a 12-month fixed-term contract, where you’ll be empowered to create environments that help every Quantexan thrive. Reporting to our VP of Operations, you’ll champion operational excellence and play a key role in opening new offices, supporting relocations, and ensuring our spaces truly reflect our collective values. What you’ll be doing

Your responsibilities will span our global footprint, ensuring our spaces reflect our values and empower our teams to do their best work. You’ll also lead and support one direct report who covers our APAC portfolio of offices.

Core responsibilities:

  • Oversee global office maintenance, including cleaning, utilities, and ensuring all spaces are welcoming and efficient.
  • Support office openings and relocations, helping our teams settle and succeed wherever we grow.
  • Own and implement UK Health & Safety requirements, while providing oversight for health and safety in our international locations.
  • Act as the main point of contact for office-related matters across all global sites.

Day-to-day activities:

  • Manage daily operations of facilities worldwide, ensuring smooth functioning and minimal disruptions.
  • Liaise with building management for maintenance, security, fire safety, and refurbishment projects.
  • Build and maintain strong relationships with service providers, contractors, and vendors - negotiating and managing contracts to deliver value.
  • Order and maintain office supplies, including furniture, stationery, refreshments, and kitchen essentials.
  • Ensure all offices meet health and safety requirements and comply with relevant legislation.
  • Oversee distribution of incoming mail and packages.
  • Collaborate with the finance team to monitor and manage office-related expenses.
  • Coordinate with local office representatives to standardise facility processes and practices.
  • Identify and mitigate risks related to facilities operations, preparing for and managing incidents such as natural disasters and unforeseen disruptions.
  • Report on global office space utilisation, supporting data-driven decisions for our workplace strategy.

Requirements

What you’ll bring.

Technical skills:

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) to support seamless operations.
  • Experience with project management platforms such as Asana, Trello, and Jira, enabling effective coordination and delivery.
  • Familiarity with communication tools, including Slack and Microsoft Teams, to connect and collaborate across our global teams.
  • Knowledge of local health and safety standards (e.g., ISO 45001), ensuring our workplaces are safe and compliant.
  • Understanding of IT basics to work closely with IT teams and support office equipment needs.

Soft skills:

  • Active listening, with a genuine interest in understanding the needs of teams and employees across our global offices.
  • Multitasking, balancing multiple responsibilities and stakeholders in a fast-paced, international environment.
