Position Overview:

As a Service Coordinator, you will serve as the primary contact for customers, service teams, and dealerships in German- and Lithuanian-speaking regions. Your role will be to manage service requests, ensure seamless communication, and coordinate repair and maintenance appointments. You will be instrumental in ensuring that our clients have a smooth and hassle-free experience.

This is a hybrid role, allowing you the flexibility of working 2 days in the office in Ghent and 3 days remotely, providing an ideal balance between teamwork and autonomy.

Key Responsibilities:

  • Serve as the main point of contact for German- and Lithuanian-speaking customers, responding to service inquiries, scheduling maintenance, and handling complaints.
  • Coordinate service appointments and repairs, liaising between customers and dealerships.
  • Ensure timely communication between all stakeholders, including customers, technical teams, and service departments.
  • Track and manage the status of service requests, ensuring timely resolution and maintaining customer satisfaction.
  • Follow up with customers to ensure they are satisfied with the services provided.
  • Escalate complex issues to appropriate internal teams for resolution.
  • Keep customers informed of the progress of their service requests.
  • Maintain accurate and detailed records of customer interactions and services performed in our CRM system.
  • Contribute to improving customer service processes by sharing feedback and suggestions with internal teams.

Qualifications:

  • Fluency in German and Lithuanian (written and spoken) is essential.
  • Previous experience in customer service, service coordination, or a related role is a strong advantage.
  • Excellent communication and interpersonal skills, with a focus on building and maintaining customer relationships.
  • Ability to work in a fast-paced environment, handling multiple tasks and solving problems efficiently.
  • A background or interest in the automotive industry is a plus, but not required.
  • Proficiency with CRM systems and general office software (Microsoft Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
