The Role

Addepar is seeking a proactive and detail-oriented Administrative Assistant to provide high-level support to our CEO. Reporting directly to the Sr. Executive Assistant & Project Coordinator, you will be the "engine room" of the CEO’s daily operations, handling heavy administrative execution with precision and foresight.

This is a high-visibility role designed for someone with 1–2 years of experience who is ready to level up. You will not only execute the CEO’s immediate administrative needs but will also partner with the Sr. EA to implement the executive’s broader travel and engagement strategies. We are looking for a "growth-mindset" professional; in 8–12 months, the successful candidate in this role will have the opportunity to expand their scope to support other C-level executives.

Note on Work Environment: This role is based in our NYC office with a hybrid schedule (minimum 3 days per week). However, flexibility is required: you must be present in the office whenever the CEO is on-site, regardless of the designated hybrid days.

A successful candidate’s starting pay will be determined based on the role, job-related skills, experience, qualifications, work location, and market conditions. The range displayed on each job posting reflects the minimum and maximum target base salary for roles in Colorado, California, and New York.

The current range for this role is $70,000 - $110,000 (base salary) + bonus + equity + benefits.

What You’ll Do

  • Heavy Administrative Support: Manage the CEO’s high-volume internal and external calendaring, ensuring every minute is optimized and prep materials are ready
  • Travel & Logistics: Execute end-to-end travel plans and bookings. You will support the Sr. EA in executing the CEO’s overarching travel strategy, ensuring seamless transitions between global locations
  • External Liaison: Act as a professional point of contact for clients, partners, and external stakeholders, mirroring Addepar’s high standards of service
  • Expense Management: Meticulously manage and file expenses, ensuring compliance with company policy and timely reimbursement
  • Operational Efficiency: Support the Sr. EA on project coordination, tracking timelines, and following up on action items to keep the CEO’s initiatives on track
  • Team Support: Assist with planning team events, off-sites, and internal activities for the G&A organization
  • Growth Path: Over time, take on additional administrative responsibilities for the CFO and COO, scaling your impact across the leadership team

  • Proven experience managing complex calendars and coordinating international/domestic travel
  • Client-facing experience: Comfortable communicating with high-level external parties and stakeholders
  • Tech Savvy: Strong proficiency in Google Workspace (Calendar, Docs, Sheets), Slack, and Zoom. Experience with travel/expense tools (e.g., Navan) is a plus
  • NYC Based: Ability to work from the NYC office at least 3 days a week, with the flexibility to match the CEO’s in-office schedule
  • Education: Bachelor’s degree preferred
