Front Desk & Office Support

Ensure the smooth operation of Worldsensing's reception while providing administrative and logistical support to the People team in Barcelona.

The Loadsensing monitoring solution includes best-in-class edge devices, LoRa-based wireless connectivity and a cloud-based connectivity management platform. We also join forces with key industry players to offer software applications and solutions which engineering service providers use to add value to end customers.

We are looking for an experienced Front Desk & Office Support professional to join our People team in Barcelona, Spain.

The Mission: 

Front Desk & Office Support role's mission is to ensure that Worldsensing’s reception in Barcelona runs smoothly and efficiently:

  • Providing effective administrative and logistical support to all members of the team.
  • Projecting an impression of friendliness, professionalism, efficiency, and quality to external visitors and callers.



Responsibilities:

  • Reception of visits and phone calls:
    • Receive all visits in person in the office with minimal wait time and maximum courtesy.
    • Providing hospitality to all meeting guests, providing refreshments, and any required support.
    • Keep track of visits.
    • Be responsible for answering phone calls.
    • Be responsible for managing the general corporate email (reception@).
    • Receive the company's messaging and parcels as well as make shipments when necessary.



  • Front-desk:

    • Managed reception area including stock inventory and printed materials.
    • Receive all visits in person in the office with minimal wait time and maximum courtesy.
    • Providing hospitality to all meeting guests, providing refreshments, and any required support.
    • Managing filing systems for all departments, ensuring that all key documents are correctly stored and indexed.



  • Administrative support:
    • Managing filing systems for all departments, ensuring that all key documents are correctly stored and indexed.
    • Organizing annual medical visits for all colleagues in Spain.
    • Organizing quarter meetings with the CEO and the new joiners.
    • Being in charge of buying and sending presents to colleagues who get married or have a child as well as Christmas lots and sending them by post when needed.



  • Travel and expenses management 
    • Managing the platform for claiming expenses and booking travel. 
    • Auditing expenses, and checking receipts on submissions using the platform for claiming expenses.  
    • Supporting employees with travel logistics duties including flight and hotel booking.
    • Managing and updating Travel Policy.



  • People Support:
    • Support in onboarding for new employees.
    • Support in Internal communication.
    • Support the People Operation Lead in any administrative or communication items required.



Requirements:



  • Skills:
    • High level of English, spoken and written.
    • Fluent in Spanish, spoken and written.
    • Ideally fluent in Catalan.
    • Communication Skills: will be collaborating with team members, management, suppliers, and customers. Need to be able to listen and communicate effectively.
    • Attention to Detail: From picking up the phone to booking a slot in the CEO’s agenda, it is crucial to make sure every detail is right.



  • Experience:
    • At least 2 years in a similar job, ideally in a young, fast-growing company.



  • Education:
    • Although experience is the main criterion for selection, a relevant degree will be a plus.
