Facilities Coordinator

HubSpot is seeking a Facilities Coordinator to join our Facilities team based in Singapore, with a full time in-office work arrangement. You’ll be responsible for the day to day facilities operations including developing & supporting office programs and initiatives that make HubSpot a fun and safe place to work, various employee-facing events and initiatives that make HubSpot one of the best places to work. 

Here’s what you’ll:

  • Coordinate the day to day facilities operations such as vendor management, event request coordination, and pantry & stationary management
  • Proactively work on assigned duties through our ticketing system (i.e maintaining furniture and fixtures such as light bulbs, carpet tiles, work desks, etc)
  • Provide support and deliver on assigned tasks by the Facilities Management team
  • Ensure meeting rooms and office spaces are maintained in a high quality standard
  • Collaborate and support the running of smooth events in conjunction with key stakeholders
  • Manage security and safety equipment/ hardware at a local level
  • Assist in the coordination of desk moves/ office moves (if any)
  • Be seated at the front desk and running the front desk operations

Requirements:

  • 2 - 4 years of relevant facilities experience 
  • Ability to multi-task while being highly organized and consistently meeting SLAs
  • Knowledge of reading floor plans/ as built drawings is a must
  • Local building, fire and safety, & workplace safety knowledge is a plus
  • Experience doing onsite repair and using basic hand tools like screwdriver, Allen keys, pliers is an added bonus. Examples would be replacing light bulbs/ tubes, replacing entrance door open button, replacing light switches.
  • Need to be comfortable occasionally working at height using ladder.
  • Excellent customer service skills, communication and stakeholder management skills
  • Lifting/ moving of office equipment/ furniture/ items/ goods of about 15 - 20kg may be occasionally required as part of events setup works
  • Occasional evening and weekend work may be required at times to support the office and community needs (urgent repairs/ regular preventive maintenance works/ annual building power shutdown works, etc)
