POSITION SUMMARY:
World Relief Western Washington seeks professional and efficient Executive Assistant to support and manage administrative tasks. The Executive Assistant will maintain a high level of trust and keep strict confidentiality in internal and external communications on behalf of the Executive Director and World Relief.
ROLE & RESPONSIBILITIES:
Scheduling
Maintain Executive Director’s schedule by planning and scheduling meetings, conferences, speaking engagements, and travel
Coordinate consistent, ongoing check ins with Executive Director’s direct reports Schedule 90-day reviews for new staff and annual reviews
Screen requests for meetings and troubleshoot schedule conflicts by delegating to other staff members, rescheduling, and/or declining based on set guidelines set by Executive Director in alignment with organizational goals
Communications
Management of Executive Director’s communications and maintaining distribution lists
Draft written communications on behalf of the Executive Director
Professional, respectful, timely communication and follow up
Facilitate engagement of the local Advisory Council (AC) including planning and coordination of quarterly AC meetings, and onboarding new AC members, and providing communication updates for relevant information
Support with social media opportunities and needs
Task Management and Administrative Tasks
Track Executive Directors tasks and prompt for required follow up
Prepare expense and mileage reports
Prepare Executive Director for meetings and speaking engagements by researching and gathering necessary details and resources, and prepare professional presentations in line with the World Relief message and branding
Assist with posting of open positions and onboarding of new staff
Relay payroll allocations to Executive Director’s direct reports and reminders for timely approval of timesheets
Documentation of Executive Director’s external meetings in Dynamics
Support fundraising and donor engagement efforts
Support Executive Director with clerical work
Complete other tasks as needed
JOB REQUIREMENTS:
Mature and personal Christian faith
Committed to the mission, vision, and values of World Relief
Desire to serve and empower the Church to impact vulnerable communities
Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Association of Evangelicals' For the Health of The Nation document
Experience in diverse settings and demonstrated commitment to respectful, equitable, and inclusive written communication and interpersonal interaction
Demonstrated ability to exercise discretion and maintain confidentiality
Strong computer literacy, with an eagerness to explore and adopt new digital tools to improve efficiency and streamline processes
Degree in communication, marketing, social media, or equivalent work experience, plus at least 3 years in a similar role required
