Executive Assistant & Travel Administrator

Support the daily operations of senior executives by managing schedules, communications, events, and travel while adapting to a fast-paced environment.

The Executive Assistant & Travel Administrator will support the day-to-day operations of our senior executives by managing schedules, handling communications, coordinating events, and travel. The ideal candidate is proactive, resourceful, and able to handle multiple projects simultaneously in a fast-paced environment.

Responsibilities:

  • Manage the calendar and schedule of one or more executive(s), ensuring all meetings are properly scheduled.
  • Screen calls, emails, and visitors for executives; prioritize communications as needed.
  • Prepare and manage travel arrangements including flights, hotels, and transportation schedules.
  • Draft memos, letters, reports, and other documents under direction from senior executives.
  • Coordinate internal and external meetings and events; arrange conference rooms and catering services as required.
  • Maintain files and records on behalf of the executive(s); ensure confidential information is stored securely.
  • Serve as a liaison between senior management and other departments within the organization.
  • Handle expense reports, invoices, and other financial tasks related to executives' accounts.
  • Bachelor's degree preferred in Business Administration or relevant field; equivalent work experience may be substituted for educational requirements.
  • 5+ years of administrative support experience in an executive-level setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and CRM software.
  • Excellent communication skills with the ability to interact professionally across all levels within the organization.
  • Strong organizational skills and attention to detail; capable of managing multiple priorities simultaneously without sacrificing quality.
  • High level of discretion when handling sensitive information

Compensation: Base pay range is $36-45.50/hour, depending on qualifications. SEAKR has very rich medical, dental and vision insurance plans, along with a generous 401(k) retirement plan. In addition to base salary, employees are eligible for a year-end bonus. SEAKR offers a variety of paid leave, such as vacation, sick, bereavement, and FMLA.
