Your Role:

The Executive Assistant (EA) will be a force multiplier for Alpaca’s Chief Revenue Officer, enabling high-velocity execution across global revenue, partnerships, customer intelligence, investor relations, and strategic initiatives. Alpaca operates at the intersection of fintech, brokerage infrastructure, and global expansion, which demands an EA who thrives in an ultra-fast environment, can handle high context switching, and proactively creates leverage.

The EA will serve as the CRO’s operational counterpart, ensuring priorities are executed, information flows correctly, and the CRO’s time is deployed against the highest-impact activities across customers, partners, regulators, and investors worldwide.

Key Responsibilities

1. Inbox Ownership & Strategic Email Management

  • Fully manage and triage a high-volume inbox spanning global partners, enterprise clients, regulators, investors, and internal teams.
  • Prioritize communication based on business impact and urgency.
  • Draft, respond to, and follow up on emails in a tone aligned with the CRO’s operating style.
  • Maintain a zero-lag system for action items, meeting requests, and next steps.

2. Calendar & Workflow Optimization

  • Own the CRO’s calendar end-to-end, optimizing for time blocks, deep-work windows, external meetings, and travel schedules.
  • Anticipate conflicts and adjust dynamically based on shifting priorities across time zones (US, APAC, EMEA, GCC).
  • Prepare the CRO before every meeting with agendas, briefings, and key context.

3. Global Travel & Event Coordination

  • Plan multi-country itineraries supporting board meetings, regulator visits, customer on-sites, and conferences such as Money2020, Token2049, Fintech Saudi, and partner summits.
  • Coordinate visas, logistics, ground transport, and briefing documents for each trip.
  • Ensure cost-efficiency while maintaining executive-level travel standards.

4. Operational & Administrative Excellence

  • Manage document preparation, board materials, contracts, NDAs, vendor forms, and internal coordination.
  • Track deliverables across revenue, partnerships, CS, and product teams, ensuring nothing falls through the cracks.
  • Support internal operational processes such as contract routing, CRM hygiene, and pipeline preparation.

5. Presentation & Narrative Support

  • Assist with building, formatting, and polishing board decks, customer proposals, investor materials, and strategic memos.
  • Maintain consistency with Alpaca’s brand standards and CRO’s communication style.
  • Coordinate content inputs from Product, Engineering, Legal, and Ops.

6. Gatekeeping, Prioritization & Decision Acceleration

  • Act as the first line of defence to protect the CRO’s time from low-value tasks or distractions.
  • Know what deserves escalation vs. what can be delegated or declined.
  • Anticipate needs, identify blind spots, and proactively remove friction.
  • Maintain alignment with the CRO’s weekly, monthly, and quarterly priorities.

7. Project & Initiative Support

  • Track progress of CRO-led initiatives, including global licenses, customer escalations, revenue targets, M&A conversations, and partnership programs.
  • Coordinate cross-functional alignment and ensure follow-through on commitments.
  • Maintain organized documentation, timelines, and status dashboards.

8. Confidentiality, Trust & Professional Conduct

  • Handle sensitive information related to deals, valuations, board discussions, term sheets, and customer pipelines.
  • Interact professionally with C-suite executives, investors, regulators, and strategic partners.
  • Uphold the highest standards of discretion and reliability.

  • The CRO’s focus is amplified and protected; logistics and operational details are handled seamlessly.
  • Cross-team collaboration becomes smoother through timely follow-ups and clear communication.
  • External stakeholders experience responsive and thoughtful interaction with the executive office.
  • The EA anticipates the CRO’s needs and delivers solutions with minimal direction.

What You Bring (Required Qualifications):

  • 5+ years supporting C-suite executives — ideally in startups, technology, or fintech environments.
  • Comfortable working with leaders who operate in fast-paced, high-growth settings.
  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

From Financial Services, Fintechs, Banking, Cand apital Markets preferred.

  • Strong proficiency in Google Suites, Slack, Confluence, JIRA, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), experience with CRM tools (HubSpot, Salesforce, etc.) is a plus.
