We also operate Open Access Network, a Fiber as a Service offering that helps reduce complexity for developers and telecommunication companies while increasing customer satisfaction.

The Executive Assistant is a strategic partner to the CEO, providing comprehensive administrative and executive support. This role involves managing a complex calendar, prioritizing tasks, handling confidential information, and ensuring the smooth operation of the CEO's office. This position requires a highly organized, proactive, and discreet individual with exceptional communication skills.

Duties and Responsibilities

  • Serves as the primary point of contact for the CEO, fielding calls, emails, and requests.
  • Efficiently manage the CEO's calendar, minimizing conflicts and ensuring optimal scheduling.
  • Prepare for meetings by gathering relevant materials, coordinating with attendees, and taking detailed notes during meetings.
  • Prioritize and manage incoming correspondence, including emails, phone calls, and mail.
  • Deliver business communications to vendors, investors, stakeholders, and leadership team members when needed
  • Prepare and edit documents, presentations, and reports.
  • Conduct research and compile information as needed.
  • Coordinate and manage business arrangements with the CEO and other stakeholders.
  • Accompany and/or represent the CEO at high-level events and conferences.
  • Oversee and manage special projects as assigned by the CEO.
  • Oversee expense reports and reimbursements.
  • Coordinate with other departments to ensure smooth workflow and communication.
  • Handle highly confidential information with utmost discretion.
  • Prepare confidential documents and reports as required.

Qualifications

  • Proven experience as an Executive Assistant or similar role, preferably supporting a C-suite executive.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Experience in international setting is preferable
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and accuracy.
  • Discretion and confidentiality.
  • Proven ability to anticipate needs and proactively address issues.
  • Strong problem-solving and decision-making skills.
  • Knowledge of project management tools and techniques.
  • Experience with scheduling and travel management software.
