Executive Assistant to the CEO / PMO Support

We are looking for a highly analytical and proactive Executive Assistant to the CEO who will also support PMO coordination activities across global and internal projects. This role combines strategic business support, executive coordination, and project governance responsibilities to drive organizational effectiveness and business growth.

The ideal candidate will act as a trusted partner to the CEO, supporting strategic initiatives, managing executive priorities, and ensuring seamless collaboration between Cuculus India (CCI) and Cuculus Germany (CCG).

Key Responsibilities


Executive Assistant Responsibilities

  • Manage and coordinate the CEO’s calendar, meetings, appointments, and travel arrangements to ensure efficient time management.

  • Act as a primary point of contact between executives and internal/external stakeholders, managing communications professionally.

  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of leadership.

  • Prepare and maintain documents, reports, presentations, briefing materials, and meeting agendas.

  • Organize and coordinate meetings, conferences, and events, including recording minutes and tracking action items.

  • Support executive decision-making through research, data analysis, and preparation of structured reports.

  • Assist in project coordination by tracking deliverables, monitoring deadlines, and ensuring timely execution of tasks.

  • Maintain confidential files and handle sensitive information with discretion and professionalism.

  • Collaborate with cross-functional teams to ensure alignment and progress on key initiatives.

  • Represent senior leadership with professionalism while supporting strategic and operational activities.

PMO Coordination (Global & Internal)

  • Act as a PMO coordinator supporting global and internal initiatives across Cuculus India (CCI) and Cuculus Germany (CCG).

  • Facilitate cross-functional communication to ensure alignment, transparency, and timely project execution.

  • Track project milestones, risks, dependencies, and progress across multiple initiatives.

  • Support governance processes, reporting structures, and project documentation.

  • Assist leadership teams with project tracking dashboards, reporting, and follow-ups.

  • Ensure consistency in project management practices and coordination across teams.

Required skills and qualifications

  • Strong analytical and problem-solving skills with business acumen.

  • Advanced proficiency in MS Excel, Power BI, and MS Office Suite.

  • Excellent organizational and time-management skills.

  • Strong communication and stakeholder management capabilities.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Experience working in cross-cultural or global team environments is a plus.
