We are hiring an Executive Assistant to support the CEO of a fast-growing SaaS company. This role is responsible for managing the CEO’s calendar, preparation, follow-ups, and the operational details that keep priorities on track.
You’ll work closely with a direct, fast-paced founder in an environment where priorities shift quickly. This role is ideal for someone early in their career who is highly organized, proactive, and comfortable learning on the fly. Occasional availability outside standard business hours, including limited evenings or weekends, may be required based on business needs.
Own the CEO’s calendar end-to-end, including scheduling, prioritization, and conflict resolution
Ensure meetings are well-prepared, purposeful, and efficient
Take notes, track action items, and follow through on open items
Draft emails, Slack messages, and meeting summaries as needed
Coordinate travel, expenses, and logistics
Assist with both professional and occasional personal to-dos
Act as a point of contact between the CEO and internal teams
Track leadership priorities, follow up on open items, and provide regular status updates
Support ad hoc research, document preparation, and light project coordination
Assist with board preparation, investor materials, and leadership meetings
Anticipate needs, flag issues early, and apply sound judgment to keep priorities on track
The CEO’s calendar is organized, protected, and intentional
Action items are tracked and completed without repeated reminders
Communication is clear, timely, and reliable
The CEO has more focused time for strategy and execution
Early-career but highly capable; prior EA, operations, or administrative experience is a plus
Proactive, dependable, and eager to learn
Comfortable working closely with senior leadership
Calm, professional, and steady under pressure
Strong written communication and attention to detail
Highly organized and comfortable with Slack, Google Workspace, and modern SaaS tools
Able to handle confidential information with discretion
Need constant direction to get started
Prefer a highly predictable role with fixed task boundaries
Struggle when priorities change or information is incomplete
Are uncomfortable working closely with senior leadership
Are not open to occasional after-hours or weekend availability when needed
