Executive Assistant to the CEO

We’re seeking a highly proactive, detail-obsessed Executive Assistant who operates at the intersection of executive operations and experience design. As a trusted partner to our CEO and leadership team, you’ll manage priorities, internal events, optimize executive calendars, coordinate board engagement, oversee T&E, and ensure seamless day-to-day operations across a growing software company.

This role is equal parts strategic thought partner, operational anchor, and event quarterback. You’ll anticipate needs before they surface, keep the leadership team aligned and organized, and take full ownership of planning and executing impactful company offsites and internal events that bring our team together.

WHAT YOU'LL OWN & DRIVE

Executive & Leadership Support 

  • Serve as a trusted partner to the CEO, managing calendars, meetings, travel, and communications 
  • Coordinate scheduling and logistics for the leadership team as needed, including quarterly offsites
  • Prepare meeting materials, agendas, notes, and follow-ups 
  • Help prioritize incoming requests and ensure critical items are handled efficiently 
  • Act as a point of contact between the CEO, internal teams, and external partners 

Business Operations & Coordination 

  • Track action items, deadlines, and key initiatives to help leadership stay aligned 
  • Assist with internal communications and documentation 
  • Support special projects and ad-hoc initiatives as needed 
  • Help improve internal processes and workflows as the company grows 

Offsites & Internal Events 

  • Plan and execute company offsites, leadership retreats, and internal events (virtual and in-person) 
  • Manage logistics including venues, travel, lodging, agendas, vendors, catering, and budgets 
  • Partner with leaders to design agendas that support team alignment and company goals 
  • Ensure events run smoothly from planning through execution and follow-up 
  • Maintain timelines, checklists, and post-event retrospectives 

WHAT YOU BRING TO THE TABLE

Required Skills & Experience 

  • 5+ years of experience as an Executive Assistant, Operations Coordinator, or similar role • Experience supporting senior executives, ideally in a startup or small company environment 
  • Strong organizational and time-management skills with exceptional attention to detail 
  • Excellent written and verbal communication skills 
  • Proven ability to handle confidential information with discretion 
  • Comfort juggling multiple priorities and shifting deadlines 

Nice to Have 

  • Experience in a software or technology company 
  • Event planning or offsite/retreat planning experience 
  • Familiarity with tools such as Google Workspace, Slack, Zoom, Notion, Asana, or similar 
  • Experience working with distributed or hybrid teams

The salary range listed is the base pay range for this position. In addition, the total compensation package includes bonus, equity and benefits. Actual earnings may be less or more depending on a candidate's direct experience, skills, industry knowledge, and location.

$65,000$80,000 USD

We are a fully distributed company of remote employees.
