As an Executive Assistant with a passion for organization, you excel at getting things done. You act as the Tech CEO’s trusted right hand, ensuring smooth operations, effective prioritization, and seamless coordination across internal and external stakeholders.

We offer you the opportunity to

Executive & Management Support

• Provide high-level confidential administrative support to the CEO and the Executive Leadership Team
• Manage the CEO’s calendar and email, prioritize commitments, and resolve scheduling conflicts
• Plan and coordinate executive meetings and on-site and virtual events, covering agendas, materials, logistics, and domestic and international travel
• Draft, review, and refine written communications, presentations, and reports

Office & Administrative Management

• Support office operations, such as ordering supplies, managing office needs, and ensuring shared spaces are well organized
• Serve as the primary contact for office facilities management, including access control and vendor relationships
• Handle confidential information with the utmost discretion, including sensitive business matters and personal details

Operations & Compliance

• Ensure a safe, organized, and compliant work environment in line with company health and safety policies
• Manage all company insurance matters, including processing requests, handling forms, and researching new coverage needs

Team Support

• Coordinate company-wide meetings and events, including Townhalls
• Support cross-functional collaboration and internal communications within the organization
• Collaborate closely with the Executive Assistant based in Germany, ensuring alignment on priorities, shared processes, and providing backup support as needed

• Possess a high sense of responsibility, absolute trustworthiness, and reliability when dealing with confidential content
• Break down complex problems into simple, actionable solutions using your structured, process-oriented, and quality-focused approach
• Can effectively build and maintain relationships with both internal and external stakeholders
• Are proficient in MS-Office (e.g., PowerPoint, Word, Excel, Outlook) and other collaboration tools (e.g., Notion), with a strong affinity for IT tools and digital workflows
• Have at least three years of experience as an Executive Assistant, Administrative Assistant, or in a similar role, preferably in a dynamic or fast-paced environment
• Are home-based in Chicago and able to work from the office at least two times per week
