The role:

We are seeking a highly organised, proactive, and detail-oriented professional to join our team. As an Executive Assistant, you will play a pivotal role in supporting the CEO and Creative Directors, ensuring seamless operations, managing schedules, coordinating key projects, and acting as a central point of communication between departments.

The main elements of the role are:

Executive Support

  • Manage and coordinate complex calendars, scheduling meetings, travel, and appointments.
  • Prepare reports, presentations, and correspondence on behalf of the CEO and Creative Directors.
  • Handle confidential information with discretion and professionalism.
  • Act as a gatekeeper, prioritising communications and ensuring key matters are addressed promptly.
  • Assist in research and preparation for key meetings, including board presentations

Project & Operations Coordination

  • Support strategic business initiatives, tracking progress and ensuring deadlines are met.
  • Oversee specialist projects, including collection launches, brand activations, and operational improvements.

Cross-Departmental Liaison

  • Facilitate communication between the CEO & Creative Directors and other departments (e.g., Design, Marketing, Digital, Finance, and Operations).
  • Ensure alignment between business priorities and creative vision by coordinating tasks between the CEO and Creative Director’s teams.
  • Organise taking minutes and following up on action items.

Event & Travel Management

  • Arrange global travel itineraries, accommodations, and logistics for leadership team trips.
  • Managing the planning and execution of company events and external engagements.
  • Support personal arrangements where necessary to allow executives to focus on business priorities.

Administrative & Studio Management

  • Oversee Studio operations to ensure a productive work environment.
  • Manage expense reports, invoices, and financial documentation related to executive activities.
  • Handle contract and vendor negotiations relevant to the CEO and Creative Director’s requirements.

Requirements

  • Exceptional organisational skills with a strong attention to detail and the ability to multitask effectively in a fast-paced environment
  • A proactive and solution-oriented approach to problem-solving
  • An ability to anticipate needs and resolve issues efficiently
  • Excellent communication skills (written and verbal), with a high level of professionalism
  • Discretion and confidentiality in handling sensitive business matters
  • Strong project management abilities with a keen understanding of business and creative workflows
  • Flexibility and adaptability in a fast-paced fashion environment
  • 3+ years of experience as an Executive Assistant, ideally within fashion, luxury, or creative industries
  • Proven experience supporting C-suite or senior executives in a high-growth, dynamic environment
  • Ability to travel and work flexibly when required

It's an added bonus (but not essential) if you have....

  • Strong proficiency in Google Suite and project management tools
  • An understanding of the fashion industry and creative processes
