EA to CEO, CTO and London Office Manager

We are seeking a dedicated Executive Assistant who thrives in a dynamic environment and takes pride in providing exceptional support. The ideal candidate is highly organized, discreet, and proactive, with a "can-do" attitude that ensures tasks are handled seamlessly. They excel in managing core EA responsibilities while maintaining the highest level of professionalism and confidentiality. This role is 100% based in our Farringdon, London office

Responsibilities will include (but are not limited to)

  • Managing the London office, dealing with vendors and deliveries and ensuring it has necessary supplies, cleaning facilities, presents itself appropriately for the company and functions effectively. 
  • Proactively manage CEO and CTO’s diaries & emails, ensuring their inboxes are organised effectively and responding to emails on their behalf as needed.
  • Board and SLT meeting prep - organising onsite and offsite meetings, taking and circulating minutes and action items, . Stay on top of deliverables and deadlines on behalf of CEO.
  • Support with presentations, check-ins, company meeting agenda, reports, and documentation (including NDA’s).
  • Manage CEO & CTOs travel and events arrangements - including flights, accommodation, entertainment and expense returns. Time permitting, the EA may also be asked to manage travel and event arrangements for other members of the SLT.
  • Manage the company travel booking system (TravelPerks).
  • Events planning - arrange company-wide events including monthly company meetings, quarterly Engineering & Dev days, wrap parties, annual company offsite, and other events  as required. 
  • Ownership of the ShipIt awards and Fundamentally A Star award
  • Conduct research work as requested.
  • Support CTO and CEO with tracking payments, invoices, and expenses.

Requirements

  • Must know Google Workspace through experience.
  • Experience in presentation design, both in Google Workspace and PowerPoint.
  • Exceptional organisational skills and keen attention to detail.
  • Demonstrable experience providing support to C-Level executives.
  • Strong oral and written communication skills, including proficiency in taking minutes and preparing reports.
  • Strong work ethic, with the ability to maintain composure under pressure.
  • Eagerness to learn and adapt to new challenges quickly.
  • A proactive and 'can do' attitude.
  • Experience in a high-growth startup or similar environment is preferable.
  • Able to maintain a high degree of discretion and confidentiality at all times.
