Executive Assistant & Office Manager (part-time, 0.5 FTE)

TLDR

Support senior management with administrative tasks, while also managing office operations and ensuring a collaborative and safe work environment.

We are looking for an experienced Executive Assistant & Office Manager role, although full training in the role will be provided. Fluency in Bulgarian and excellent English is essential. 

Main tasks: 
 
Executive Assistant (75%) 

  • Daily admin tasks such as scheduling meetings and travel for the senior management 

  • Organisation of company all-hands, shareholder meetings and company off-site events 

  • Schedule the induction programmes and onboarding for new employees 

  • Manage the co-ordination between our national and international offices 

  • Assist the Client Services team on specific tasks on a case-by-case basis 

Office Manager (25%) 

  • Act as the link between the office building management and the company  

  • Manage the ordering, payment and stocking of office supplies 

  • Ensure that office health and safety procedures are being maintained 

  • Organise regular office events for visiting employees not based in Sofia 
     

  • 5+ years of professional experience in an office environment 

  • Professional written and spoken fluency in both Bulgarian and English, with excellent communication skills in both languages 

  • Knowledge of Microsoft communication tools: Outlook/Teams etc.  

  • Proactive approach and positive attitude 

  • Organized, focused and with an attention to detail  

  • Ability to prioritize and manage time effectively 

  • Self-motivated person with an appetite to work in an international, fast-paced, entrepreneurial environment 

Nice to haves 

  • Experience in travel planning and booking  

  • Experience of event planning 

  • Other languages
