The Mission of the Executive Assistant

As an Executive Assistant, you provide dependable and high-impact support to three senior executives, enabling their day-to-day work to run smoothly and efficiently in a fast-moving, technically complex, and international environment.

The role goes well beyond calendar management and requires strong judgment, discretion, and the ability to anticipate needs in meetings, travel, and communication, ensuring that details are handled accurately and on time. You bring structure to busy schedules, support effective coordination, and help keep priorities clear.

This role is well suited to someone who enjoys supporting others, is confident in managing multiple tasks, and takes pride in being organized and reliable. You work proactively, anticipate routine needs, and respond calmly and practically when plans change.

  • Act as a strategic right hand to the executive, managing priorities, time, and information flow to maximize effectiveness, and ensuring focus on the highest-value activities. 
  • The executives you support can rely on you to keep their days running smoothly, with calendars across multiple time zones, meetings, travel, and priorities proactively planned and well-organized.
  • You anticipate needs before they arise, identify potential scheduling or coordination conflicts early, and resolve them proactively.
  • Serve as a professional interface between the executive and internal teams, partners, customers, and external stakeholders.
  • Administrative routines are handled accurately and consistently, with strong attention to detail and timely follow-through.
  • You collaborate closely with other assistants, sharing information and contributing to consistent, high-quality executive support.
  • Support ad-hoc initiatives, special projects, and cross-functional coordination as required, and improve executive office processes, tools, and ways of working as ICEYE scales.

Role-specific Competences

You have experience as an Executive Assistant or similar role for senior leadership, ideally in a high-growth international company, where you have displayed these competences:

  1. Organisation and prioritisation: You manage multiple requests calmly under pressure, knowing what needs attention now and what can wait. Confident, and comfortable saying no when needed to protect executive focus. Exceptional organisational and time-management skills
  2. Attention to detail: You notice the small things that keep operations running smoothly and accurately.
  3. Confidentiality and trust: You handle sensitive and confidential information with absolute discretion and sound judgment.
  4. Proactivity: You anticipate needs, identify potential issues early, act independently, and find simple ways to solve complex scheduling or coordination challenges. 
  5. Collaboration and communication: You interact confidently and comfortably with senior stakeholders and different personalities, build trust quickly, and contribute to a supportive team dynamic. You support colleagues, share knowledge, and step in when needed to help keep the work running smoothly. 
  6. Technical confidence: You use digital tools comfortably - Google Workspace, MS Office, and other productivity or AI-based tools - to make daily work more efficient.
  7. Adaptability: You adjust easily when priorities shift and find practical ways to keep things moving. You are comfortable and flexible in a changing environment, even when it means adapting your own plans or priorities.
