As an Executive Assistant, you will work closely with Matt, our Co-Founder & CRO, supporting him in managing priorities and keeping day-to-day operations running smoothly. You’ll handle scheduling, inbox and communications, follow-ups, and coordination, bringing clarity and order to a busy, fast-moving schedule. In this role, you’ll act as a calm, capable partner who anticipates needs, creates simple systems, and ensures nothing slips through the cracks.

Please note that this is a 20-month contract role, providing maternity leave coverage. The salary range for this role is $45,000-$55,000 CAD.

Responsibilities

Executive Support & Operations

  • Manage complex calendar scheduling, including internal and external meetings across multiple time zones.
  • Proactively monitor the executive’s schedule to ensure priorities are aligned and time is used effectively.
  • Track daily and weekly priorities, follow up on action items, and help keep the executive accountable to key tasks and deadlines.
  • Act as a gatekeeper for the executive’s time, inbox, and incoming requests.
  • Monitor and manage the executive’s inbox by drafting, responding to, and triaging emails on the executive’s behalf in a timely manner. 
  • Collect and submit receipts/invoices to the finance department.

Travel Coordination

  • Arrange travel logistics including flights, accommodations, ground transportation, and itineraries.
  • Ensure travel plans align with executive preferences.
  • Handle last-minute changes or issues as needed.

Sales & Revenue Support

  • Support sales initiatives by managing meeting logistics, follow-ups, and scheduling with prospects and partners.
  • Assist with outbound and inbound sales coordination, including tracking leads, opportunities, and next steps.
  • Prepare or coordinate sales materials such as presentations, proposals, decks, and follow-up emails.
  • Help maintain CRM updates or sales tracking systems as needed.

Events & Relationship Management

  • Coordinate executive-led events such as dinners, happy hours, meetings and small group gatherings. This includes vendor research and selection, logistics, and day of execution.
  • Support relationship-building efforts with key stakeholders, partners, and clients by sending follow-up emails and scheduling virtual meetings.

Attendance at events may be available but is optional and based on the individual’s preference; there is no requirement for mandatory in-person attendance or travel.

LinkedIn & Online Presence

  • Support LinkedIn activity, including posting, engagement, and inbox management (as directed).
  • Help maintain a consistent and professional online presence for the executive.

Requirements

  • 1-2 years supporting a founder/C-suite as an Executive Assistant or Senior Administrative Assistant. 
  • Experience managing a delegated inbox and calendar in Google Workspace.
  • Experience creating reminders and workflows in Slack. 
  • Strong organizational, communication, and time-management skills.
  • High level of discretion and professionalism.
  • Ability to work independently, anticipate needs, and problem-solve.
  • Comfortable working in a fast-paced, dynamic environment. 
  • Exposure to a CRM platform.
  • Experience coordinating events, including vendor selection scheduling and logistics.

Nice-to-Haves

  • Experience supporting marketing initiatives (content coordination, campaigns, or social media support).
  • Project management skills, including task tracking, timelines, and cross-functional coordination.
  • Experience creating automations in email and other useful settings (e.x. Using Zapier). 
  • Familiarity with tools such as Hubspot.
