Executive Assistant

Position Overview
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the leadership team of a growing speech therapy practice with 9 offices.
This role blends executive-level administrative support with light marketing and content coordination. The ideal candidate is detail-oriented, adaptable, and comfortable managing both structured administrative work and creative support tasks.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars and schedule appointments
- Book travel arrangements (airfare, hotels, transportation)
- Coordinate internal and external Zoom meetings
- Maintain organized Google Drive folders and documentation
- Prepare and maintain spreadsheets for tracking projects and operations
- Draft and edit documents using Google Docs
- Assist with cross-office coordination as needed
Systems & Platform Management
- Support course or content management in Kajabi
- Assist with training and workflows inside Insync (training provided)
- Maintain organized records and systems across platforms
Marketing & Content Support
- Create and edit simple designs in Canva
- Assist with Instagram content scheduling and coordination
- Support podcast coordination (guest scheduling, document preparation, tracking)
- Maintain content calendars and marketing spreadsheets
Qualifications
- Proven experience as an Executive Assistant or high-level Administrative Assistant
- Strong organizational and time-management skills
- Comfortable managing multiple systems and platforms simultaneously
- Experience with:
- Google Workspace (Docs, Drive, Sheets)
- Zoom
- Canva
- Instagram (business use)
- Spreadsheets (Excel or Google Sheets)
- Experience with Kajabi preferred
- Strong written communication skills
- Ability to manage confidential information professionally
