We are looking for an organized, adaptable, and experienced Executive Assistant to support our Hardware team, including the Senior Vice President of Hardware, Director of Sensor Engineering, and Director of Hardware Engineering. This role requires strong and complex calendaring and prioritization skills, uncompromising attention to detail, the ability to meet tight deadlines, excellent organizational skills, and the capacity to juggle multiple critical requests simultaneously. A high level of integrity and discretion in handling confidential information, as well as professionalism in interactions with senior leaders, are critical aspects of this role. The ideal candidate will be a clear and effective communicator, highly proficient with Google Workspace (especially Sheets and Slides), and quick to learn and adapt to new tools and systems. They should also be comfortable navigating an environment where priorities shift quickly — no two days are the same. Flexibility, adaptability, and a proactive mindset are key to thriving in this role, is a self-starter, and wants to work on a dynamic and mission-driven team. In this role, you will:
  • Schedule and coordinate meetings, including setting agendas, actively taking notes, and following up on action items
  • Plan and execute team off-sites and events varying in size and complexity for individual and organizational-wide team off-sites
  • End-to-end project management for org-wide projects and initiatives, including inception, planning, documentation, tracking, and communication
  • Act as a backup to other executive assistants as needed
  • Support the SVP of the Hardware organization including his leadership team
  • Qualifications
  • 8+ years of experience working as an Executive Assistant 
  • Self-starter; capable of identifying business needs and independently formulating and executing plans to improve operations and efficiency
  • Sensitivity to handling critical and confidential information
  • Strong organizational skills and appreciation for the importance of supporting a growing team of diverse personalities and programs
  • Excellent written and verbal communication
  • Technical computer skills, including proficiency with Google for Business Suite, MS Office Suite, and Mac-based programs
  • Professional discretion and judgment to ensure applicable private/proprietary business information, data, transactions, and correspondences maintain confidentiality
  • Bonus Qualifications
  • Experience working with Navan, SAP Ariba, Confluence and Google Suite
  • Previous exposure working with outside vendors, cross-functional internal stakeholders, and senior leadership
  • Onsite Capacity
  • This role will require a full-time presence in our Foster City, CA office
