Position Summary 

Reporting directly to the Executive Vice President (EVP), the Executive Assistant provides high-level administrative, organizational, and project support to ensure the EVP’s team operates efficiently and effectively. This role blends core executive assistant responsibilities, such as calendar management, travel coordination, and meeting logistics, with broader support for priority initiatives, including digital organization, drafting first versions of communications and talking points, social media coordination, and internal project tracking. The position requires a highly organized, tech-savvy, and proactive professional who can anticipate needs, manage details across multiple workstreams, and exercise sound judgment and discretion in support of senior leadership.  


 

Primary Duties and Responsibilities

Executive & Administrative Support 

  • Manage the Executive Vice President’s calendar, scheduling, meeting logistics, and travel arrangements. 
  • Support email management, document organization, and internal communications workflows as needed. 

 

Project Coordination & Internal Operations 

  • Coordinate and track priority projects and initiatives, ensuring timelines, deliverables, and responsibilities are clearly defined. 
  • Support coordination across teams and functions, helping align people, processes, and information. 
  • Maintain shared project documentation, templates, and systems to improve organizational efficiency. 

 

Digital, Communications & Technology Support 

  • Draft first versions of internal and external communications, including talking points, presentations, briefing memos, and basic reports. 
  • Assist with basic social media coordination or content preparation, in collaboration with communications staff. 
  • Support the organization and maintenance of digital files, resources, and knowledge assets. 

 

Team & Organizational Support 

  • Assist with coordinating team schedules, meetings, and internal communications using online technologies. 
  • Support team collaboration by helping convene meetings, document decisions, and ensure follow-through. 
  • Uphold professionalism, confidentiality, and strong interpersonal relationships with staff and partners. 
  • Perform other related duties as necessary to support the EVP and their division. 

 

Position Location & Schedule 

  

This is a remote position, with a strong preference for candidates based in the Maryland, Washington, DC, or Virginia (DMV) area to facilitate periodic in-person collaboration when needed. Local, state, and sometimes national travel required.  While the role is fully remote today, the role may transition to a hybrid work model in the future, including the potential use of shared or co-working spaces. 

 

Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. ET with in-office, hybrid and/or remote work a possibility. Because of the nature of the responsibility to schools, partners, funders, and to the service region, individual offices or departments may have operating hours that extend beyond this period and may include evening and/or weekend hours. 

 

Minimum Qualifications 

 

Education required to ensure success in this position: 

  • Bachelor’s degree in business administration, management, communications, education, or a related field preferred. 

 

Experience required to ensure success in this position: 

  • Minimum of five years of experience in an executive assistant, project coordinator, program coordinator, or similar support role. 
  • Demonstrated commitment to working in and with rural communities and a strong personal commitment to the mission of Partners for Rural Impact that All Rural Students Succeed. 
  • Demonstrated excellence in written communications, including technical writing and editing. 
  • Demonstrated success in a complex, fast-paced, high-performing organization, with the ability to prioritize projects and work cross-functionally. 
  • Ability to multitask and work independently.

License, certification, or registration necessary: 

  • Valid driver’s license 
  • Successfully complete pre-employment background check 


Physical requirements: 

  • Ability to work independently in a home office environment. 
  • Ability to accurately communicate and exchange information with partners, stakeholders, and/or meeting participants. 
  • Ability to occasionally lift up to 25 lbs. 
  • Ability to travel independently by car and plane regionally and nationally. 
  • Ability to operate standard office equipment. 
  • Ability to operate motor vehicle. 


Environmental conditions: 

  • Work in a fast-paced setting with frequent interruptions and shifting priorities 
  • This position is for remote work.  
  • Must be able to travel for team meetings and partner convenings, with potential travel to staff the EVP when needed.
