As a strategic partner to key senior executives and others in the practice group, the Executive Assistant plays a pivotal role in driving operational efficiency, facilitating seamless communication, and ensuring the highest level of professionalism. More than an administrative role, this position is integral to thought leadership, decision-making and logistical execution, empowering leadership to focus on strategic priorities.
The ideal candidate is an adaptable, proactive professional who anticipates needs, streamline processes, and fosters collaboration. With exceptional organizational and communications skills, the Executive Business Partner will act as a trusted liaison between executives and internal and external stakeholders, ensuring alignment with business objectives.
Responsibilities
Maintain complex calendars, coordinate meetings, appointments, and manage detailed travel arrangements, including travel itineraries, and portfolios for executives
Prepare, edit and refine documents, presentations, and reports with accuracy, clarity, and professionalism
Coordinate in-house and off-site meetings, ensuring seamless logistics, including conference room set up, catering, and visitor travel coordination
Handle sensitive and high-level information with discretion, maintaining the utmost professionalism and confidentiality
Manage and prioritize incoming requests, including email communications, ensuring efficient delegation and redirection when necessary
Act as a liaison across departments, facilitate communication, and coordinate projects and initiatives effectively
Track and manage expense reports, invoices, and executive time entry (revisions)
Attend staff meetings as needed
Take ownership of ad hoc tasks and special projects as assigned by executives, proactively identifying opportunities to enhance executive productivity
Basic Qualifications
5+ years of executive-level administrative experience, demonstrating a proven ability to support senior leadership with efficiency and discretion
Bachelor's degree or equivalent work experience
Preferred Qualifications
Outstanding written, verbal, and interpersonal communication skills, ensuring clarity, professionalism, and effectiveness in all interactions
Strong ability to multitask, manage deadlines, and anticipate needs, ensuring seamless executive support in a fast-paced environment
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools; experience with executive travel and expense management systems is a plus
High level of integrity and confidentiality in handling sensitive executive and business matters
Ability to thrive under pressure, adapt to evolving priorities, and remain composed in fast-paced situations
Proactive, solutions-oriented mindset with the ability to think critically, troubleshoot issues, and make informed decisions independently

An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs.
