Position Summary:

The Executive Assistant (EA) to the CEO plays a pivotal role in ensuring the CEO is enabled to focus his bandwidth on business matters. This position requires a highly organized, proactive, and detail-oriented professional who can manage a wide range of tasks involving both strategic, and operational aspects of the company. The EA will act as an important part of the CEO’s office ensuring seamless coordination of priorities, communications, and projects.

Requirements

Roles & Responsibilities:

  1. Calendar & Meeting Management
    • Manage CEO’s calendars, ensuring optimal time management across business commitments.
    • Prioritize requests, resolve scheduling conflicts, and manage appointments with both corporate and family offices stakeholders.
  2. Communication & Coordination
    • Serve as the primary liaison between the CEO and internal/external stakeholders.
    • Draft and manage correspondence, presentations, and reports, ensuring efficient handling.
  3. Travel & Expense Management
    • Plan and oversee domestic and international travel arrangements, covering business trips & events. 
    • Manage reimbursements, tax invoices, and event-related expenses.
  4. Project & Event Support
    • Assist in executing strategic projects and coordinate with teams across the organization.
    • Organize high-level meetings, investor relations engagements, PR events, and Family office commitments such as private events, home office social engagements over lunch/dinner. 
  5. Administrative & Ad-Hoc Support
    • Ensure the smooth handling of the CEO’s daily schedule, from corporate priorities to personal responsibilities.
    • Handle confidential matters with discretion, ensuring alignment across business and personal affairs.
    • Provide flexible, on-demand support for unanticipated tasks, projects, and critical priorities.
    • Work cross-functionally across teams, including vendor management, event planning and management, and collaboration with Finance to ensure smooth operations.

Required Skills & Qualifications:

  • Strong Organisational & Time-Management Skills – Ability to seamlessly integrate professional and family offices schedules.
  • Excellent Communication Skills – Strong verbal and written abilities to interact with diverse stakeholders.
  • Technical Proficiency – Expertise in Google Workspace, MS Office, and internal communication tools.
  • Discretion & Confidentiality – Ability to manage sensitive business and family office confidential information with professionalism.
  • Problem-Solving & Decision-Making – Ability to troubleshoot conflicts and proactively manage priorities. Capable of anticipating needs and working autonomously with minimal supervision.
  • Experience with C-Level Executives – Minimum 8–10 years of experience supporting top management.
