Role Overview

The Executive Assistant (Calendar + Creator Ops Hybrid) serves as both the central authority for executive scheduling and the operational backbone behind content and audience growth initiatives. This role exists to protect executive focus through disciplined calendar ownership while independently running creator operations systems that ensure consistent content execution. The work is highly autonomous, execution-heavy, and requires strong judgment, discretion, and operational reliability. This role is best suited for a proactive operator who thrives in fast-paced, creator-led environments and can balance structure with creative execution.

Your Impact

You will reduce executive distraction by enforcing clear scheduling boundaries and protecting focus time. You will ensure consistent short-form content output leading into a major book launch, directly supporting audience growth and engagement. You will create reliable operational systems that prevent dropped tasks, missed posts, or broken workflows. Your work will improve visibility into content performance and outreach effectiveness, enabling better decision-making and sustained momentum.

Core Responsibilities

Executive Calendar Ownership & Gatekeeping – 25%

  • Own the executive’s calendar end-to-end as the single scheduling authority
  • Triage all inbound meeting requests through a controlled intake process
  • Proactively block focus time and enforce protected productivity windows
  • Prevent scheduling conflicts and double-bookings
  • Communicate boundaries clearly and provide structured availability

Social Media & Creator Operations – 40%

  • Build and maintain a consistent short-form content posting cadence
  • Coordinate recurring content capture and publishing workflows
  • Edit and package short-form video content for Instagram and TikTok
  • Ensure zero missed posts and consistent daily execution
  • Track performance and surface actionable insights for optimization

Newsletter Operations (Substack) – 15%

  • Manage logistics for a bi-monthly newsletter publishing cadence
  • Support formatting, publishing, and follow-up workflows
  • Track engagement metrics and summarize performance insights

Podcast Outreach Infrastructure – 10%

  • Build and maintain a lightweight podcast outreach tracking system
  • Track targets, outreach status, responses, and scheduling coordination
  • Improve accountability and ROI visibility for outreach efforts

Additional Executive Admin Support – 10%

Requirements

Must-Haves (Required)

  • 3+ years of experience as an Executive Assistant or similar role
  • Proven high-volume, high-judgment calendar management experience
  • Ability to act as a firm yet professional scheduling gatekeeper
  • Excellent written English communication skills
  • Strong operational reliability with zero tolerance for dropped tasks
  • Experience supporting short-form social media execution
  • Familiarity with newsletter or Substack-style publishing operations
  • High discretion and professionalism handling sensitive communications
