Event Producer (Freelance Part-time)

As part of the Fever Originals team, you will use data and insights to create one-of-a-kind events and experiences that allow people to have unforgettable moments. 

About the Role (Japanese Version Below) :

We are looking for an experienced, passionate, and detail-oriented Producer to join the Fever Originals team. You will take responsibility for the end-to-end production of complex live entertainment experiences involving the construction of permanent or semi-permanent physical spaces, ensuring they are delivered on time, on budget, and to the highest quality standards.

This role spans technical production, creative development, budgeting, process management, and leadership, and requires strong adaptability, problem-solving skills, and the ability to balance speed and quality.
You will serve as the main production point of contact across a wide portfolio of projects, coordinating technical teams, business leaders, our partners and external vendors, while leading processes that guarantee exceptional experiences for our audiences.

Project Management

• Oversee all phases of production—from initial concept development through on-site execution and post-event wrap-up.
• Interpret creative briefs, site layouts, and project requirements to ensure feasibility and alignment with company goals.
• Validate site logistics and operational needs through planning sessions, venue scouting, and site visits.
• Coordinate cross-department collaboration across creative, operations, technical, and vendor teams.

Process & Documentation

• Create and maintain comprehensive production documentation, timelines, and handover materials.
• Develop and track schedules, milestones, and deliverables using project management tools.
• Support consistent communication flow and version control for all project documentation.

Budgeting & Financial Management

• Build, manage, and reconcile production budgets from feasibility through final delivery.
• Track project spending and identify opportunities for optimization or cost savings.
• Oversee contracts, vendor negotiations, purchase orders, and invoice processing.
• Assist with closing out event P&Ls and financial reporting.

Leadership & Communication

• Lead team and client meetings, capturing action items and ensuring accountability.
• Present confidently to senior stakeholders, clients, and partners.
• Translate complex production challenges into practical, solution-oriented recommendations.
• Support and mentor production coordinators or junior staff as needed.

Soft Skills

• Demonstrate adaptability, composure, and creative problem-solving under pressure.
• Promote teamwork, collaboration, and positive communication across departments.
• Take ownership of large, multi-stakeholder projects from planning through delivery.
• Maintain strong relationships with vendors, venues, and clients through professionalism and reliability.

About You:

You thrive in a fast-paced environment and pride yourself on your flexible, detailed, analytical mindset. Candidates need to be passionate about the entertainment/events industry. You will have to be comfortable delivering results in an ambiguous environment, being exceptionally detail-oriented while looking around corners, and thinking bigger about how we create a compelling experience. 

• 5+ years of experience in the event production industry
• Fluency in English and Japanese
• Proven track record of managing complex projects with multiple workstreams and stakeholders.
• Strong understanding of production logistics, scheduling, and vendor coordination.
• Experience negotiating and managing contracts and budgets.
• Excellent organizational and time-management skills; proficiency with project management tools (e.g., Asana, Smartsheet, Gantt charts).
• Strong interpersonal, presentation, and communication skills.
• Ambition to grow into larger production management or leadership roles.

職務内容

プロジェクトマネジメント

• コンセプト開発から現場での実行、イベント終了後の振り返りまで、制作の全フェーズを統括
• クリエイティブブリーフ、会場レイアウト、プロジェクト要件を理解・解釈し、実現可能性と会社目標との整合性を担保
• プランニングセッション、会場視察、現地確認を通じて、会場運営および物流要件を検証
• クリエイティブ、オペレーション、技術、ベンダー各チーム間の連携を調整

プロセス管理・ドキュメンテーション

• 包括的な制作ドキュメント、スケジュール、引き継ぎ資料の作成および管理
• プロジェクト管理ツールを活用し、スケジュール、マイルストーン、成果物を策定・管理
• ドキュメントのバージョン管理および円滑な情報共有を推進

予算管理・財務管理

• 実現可能性検討から最終納品まで、制作予算の策定・管理・精算を実施
• プロジェクト支出を追跡し、コスト最適化や削減機会を特定
• 契約管理、ベンダー交渉、発注書作成、請求書処理を統括
• イベントの損益計算（P&L）および財務レポーティングの締め処理をサポート

リーダーシップ・コミュニケーション

• チームおよびクライアントとの会議をリードし、アクション項目を明確化し進行管理を徹底
• 経営層、クライアント、パートナーに対して自信を持ってプレゼンテーションを実施
• 複雑な制作課題を実行可能な解決策として整理・提案
• 必要に応じて制作コーディネーターやジュニアスタッフの指導・育成

応募資格

• イベント制作、ライブエンターテインメント、メディア、または体験型マーケティング分野での実務経験5年以上
• 複数の業務ストリームおよびステークホルダーが関与する複雑なプロジェクトのマネジメント実績
• 制作ロジスティクス、スケジューリング、ベンダー管理に関する深い理解
• 契約交渉および予算管理の実務経験
• 優れた組織力およびタイムマネジメント能力、プロジェクト管理ツール（Asana、Smartsheet、ガントチャート等）の使用経験
• 高い対人能力、プレゼンテーション能力、コミュニケーション能力
