Event Operations - Associate

TLDR

Support the execution of proprietary events and sponsorship activations while gaining hands-on experience with large-scale, high-impact events at a global fintech leader.

iCapital is looking for an Associate Event Operations to join our global Events team based in Lisbon. These junior-level roles will support the execution of proprietary events, third‑party sponsorship activations, and venue research across the U.S. and international markets.

You’ll work closely with U.S.-based event leads, gaining hands-on experience with large-scale, high-impact events at a global fintech leader.

What You’ll Do

  • Support event operations and logistics for client, conference, and internal events
  • Assist with third-party sponsorship activations and conference execution
  • Conduct event venue research across global markets
  • Help manage event calendars, timelines, attendee lists, and budgets
  • Coordinate vendors, supplies, shipments, and onsite materials
  • Support onsite execution when needed (registration, presentations, logistics)
  • Assist with hotel, travel, and ground transportation coordination
  • Track expenses and support invoice processing and reconciliation

What We’re Looking For

  • 3-5 years of experience in events, marketing, hospitality, or coordination roles
  • Strong organizational skills and attention to detail
  • Comfortable juggling multiple priorities in a fast‑paced environment
  • Clear, professional communicator (written and verbal)
  • Team player who can also work independently
  • Interest in global events and learning end‑to‑end event operations
  • Exposure to CVENT or similar tools is a plus (or willingness to learn)

Additional Details

  • Based in Lisbon, Portugal
  • Supports U.S. and global events, so flexibility with hours may be needed
  • Occasional travel and weekend support during peak event periods
