Event Executive

TLDR

Play a vital role in planning and executing events that align with brand objectives while ensuring seamless on-ground delivery and exceptional attendee experiences.

We are looking for a proactive and detail-oriented Event Executive to manage end-to-end event planning and execution. This role involves translating client briefs into well-executed event experiences, coordinating closely with internal teams and vendors, and ensuring smooth on-ground delivery. You will play a key role in delivering events that align with brand objectives and provide a strong experience for attendees.

What You'll Do

Event Pre-Planning and Coordination

  •  Ability to comprehend client briefs, identify key objectives, and align event planning with client expectations.
  • Develop creative event ideas that match brand identity and objectives, ensuring a seamless experience for attendees.
  • Establish a structured event timeline, delegate responsibilities effectively, and ensure smooth coordination among internal teams.

Vendor Management

  • Liaising with Vendors on Brief: Effectively communicate event requirements, including design, setup, and logistical needs, ensuring vendors fully understand expectations.
  • Quotation & Negotiation: Source quotations from multiple vendors, compare pricing and services, and negotiate for cost-effective yet high-quality solutions.
  • Vendor Coordination: Oversee vendor deliverables, ensure timely execution, and troubleshoot any last-minute challenges to maintain event quality.
  • On-Site Supervision: Ensure vendors execute their tasks as per agreed timelines and quality standards, addressing any issues in real time.

Event Management

  • On-Ground Execution: Oversee event setup, manage timelines, and ensure smooth event flow, adhering to planned objectives and brand guidelines.
  • Crisis Management: Identify potential risks and respond effectively to any on-site issues to minimize disruptions.
  • Stakeholder Coordination: Ensure seamless communication between clients, vendors, and internal teams to maintain event alignment.
  • Guest & Experience Management: Oversee attendee experience, ensuring hospitality, engagement, and brand messaging are well executed.

Post-Event

  • Event Wrap-Up & Reporting: Ensure proper event closure, including dismantling, return of materials, and budget reconciliation.
  • Post-Event Analysis: Gather feedback from stakeholders, assess event success, and identify areas for improvement.
  • Documentation & Learnings: Compile an event report detailing key takeaways, challenges, and recommendations for future events.

Who You Are

  • Bachelor’s degree in any discipline.
  • Fluent in English, written and spoken. 
  • 1 to 2 years of experience in Marketing / Advertising. 
  • Target and result-oriented mind with a passion for working independently.
  • Well-organized, responsible, and occupied with problem-solving skills. 
  • Creative, detail-oriented with the ability to take initiative, prioritize, and multitask.
