Our NYC HQ (3 Howard Street) doubles as a dynamic event space where we host intimate salons, industry dinners, live podcasts, screenings, brand activations, and large-scale creative gatherings.

This is a part-time contract role with variable hours each month, and may require both daytime and evening setup. The successful candidate will support events at our SoHo office.

The Role

We’re looking for a reliable, hands-on Event Coordinator to support the execution of Air’s community and brand events.

This is a tactical, in-the-weeds role. You’ll be an essential extra set of hands—helping bring events to life from vendor coordination to check-in to breakdown. The right person is calm under pressure, highly organized, proactive, and comfortable doing whatever the moment requires.

This role reports to the Community + Space Manager and will work closely with internal teams and external vendors.

Core Responsibilities

Pre-Event Support

  • Assist with vendor coordination (catering, rentals, AV, florals, entertainment, etc.)
  • Track deliveries and manage load-in schedules
  • Support supply sourcing and inventory preparation
  • Help prepare event materials (signage, name tags, check-in systems, seating charts)

Onsite Event Execution

  • Manage vendor load-in and setup logistics
  • Assist with room setup, furniture moves, staging, lighting, and styling
  • Run guest check-in and registration
  • Serve as point-of-contact for vendors during events
  • Troubleshoot real-time issues calmly and quickly
  • Support food & beverage flow and hospitality needs
  • Ensure event timeline stays on track

Breakdown & Reset

  • Oversee vendor strike and equipment return
  • Break down signage, décor, and rentals
  • Reset event space to standard office configuration
  • Inventory remaining supplies
  • Flag damages or operational issues

Requirements

  • 1–3+ years experience in events, hospitality, production, or experiential marketing
  • Comfortable lifting, moving furniture, and being on your feet for extended periods
  • Highly organized and detail-oriented
  • Calm under pressure and solutions-focused
  • Professional and friendly when interacting with guests and vendors
  • Flexible schedule and available evenings
  • Comfortable working irregular hours depending on event schedule

Bonus if you have:

  • Experience in startup or fast-paced environments
  • Basic AV familiarity
  • Experience with guest list tools or event platforms
  • Strong NYC vendor familiarity

Benefits

The compensation range for this role is USD $40-$50/hour, commensurate with experience. High performers may be considered for full-time opportunities as the team scales.
