Spectrum Science is seeking a strategic, data-driven, and action-oriented Director of Project Management for our Paid Media team. This role will oversee the execution of integrated media campaigns across channels and is fully remote. The ideal candidate will be someone who thrives in a fast-paced, collaborative environment — coordinating timelines, deliverables, workflows, and scoping across the Paid Media team. The Director, Project Management, Paid Media role is not a note-taker; it is a strategic operational driver and orchestrator at the day-to-day work product level while also building the best practices and documentation that enable scalability.
The ideal candidate is a seasoned project management expert with deep knowledge of paid media deliverables, timeline development, how roles function together, paid media processes, and how to ensure all media items are delivered on time and on budget.
You’ll work closely with Integrated Media Planners, Biddable Media (Paid Search, Paid Social, Programmatic), and Media Technology & Investment Operations to ensure optimal ways of working, utilization, and agency fee budget usage. You’ll also act as the connective tissue between client teams and other non-media-fluent PMs— aligning expectations, verifying that deliverable dates are realistic and timely, and ensuring the team has the hours and resources necessary to deliver work at a high level.
Key Responsibilities
Workstream Planning & Coordination
  • Translate media plans into actionable and granular project schedules and deliverables, including the planning process itself.
  • Assist with organizing the onboarding and offboarding of clients and media staff.
  • Coordinate across internal teams to align timing, assets, and approvals.
  • Ensure scheduling of all key meetings including internal and client reviews.
  • Partner with client and internal stakeholders to confirm deliverable timelines and dependencies.
  • Ensure trafficking readiness: Facilitate end-to-end project documentation—including creative handoff forms, media briefs, and trafficking requirements—to ensure all deliverables, specifications, and timelines are clearly defined, aligned on, approved, and enable seamless execution by the paid media team.
  • Review of client and partner contracts to ensure alignment with Media team policies
  • Collaborate closely with internal and external agency partners to drive alignment on campaign scope, timelines, and deliverables—ensuring the processes that ensure digital media best practices, performance standards, and integrated workflows are followed.
  • Ensure new work is accurately scoped, includes relevant scope assumptions and constraints, and has a resource plan (Hours and tasks by role/person).
  • Assist in SOW, Change Order, and Project Tracking document creation and management.
Execution & Delivery
  • Manage day-to-day workflow for multiple campaigns across channels.
  • Drive tactical activation and track project timelines, deliverables, and budgets (monitor and publish project burn rate); escalate risks or blockers proactively.
  • Partner with Resource Management to confirm bandwidth and ensure teams are properly allocated for high-quality execution.
  • Coordinate with other project managers, client service, and finance teams
  • Support campaign launches and ensure all parties have clear expectations and understanding of deliverables and deadlines.
  • Understanding of digital media QC process and specs.
  • Ensure all reporting (scheduled and ad hoc) is completed.
  • Ensure all launch verification activities are completed (i.e. post launch screenshot decks, launch verification, analytics QC verification).
  • Facilitate recurring campaign performance optimization reviews and ensure key items are actioned.
Optimization & Reporting
  • Partner with media and analytics teams to ensure post-launch reporting aligns with defined cadence and inclusions.
  • Monitor project milestones, pacing and spend, flagging variances in forecasted and actual fee and expenses recognition and providing ongoing status updates.
  • Help streamline and document repeatable media workflows and processes.
  • Work with cross-functional PMs from other strategic service offerings to ensure media workstreams are accurately and completely planned for regarding timing, dependencies, scope, and resourcing needs. Proactively fill in knowledge gaps about media process to ensure items are not missed.
Qualifications
  • 6+ years of experience in paid media project management and operations within a health-focused paid media agency.
  • Strong understanding of digital media channels and analytics
  • Familiarity with media trafficking and reporting tools such as Prisma, BionicAds, MediaOcean, etc.
  • Strong proficiency in project management tools like Kantata, Smartsheets, Workfront, Asana or equivalent. Experience in Kantata, Jira, and AccountabilityOne, is a plus.
  • Proficiency in media-specific project management processes and approach
  • Exceptional communication and relationship management skills — able to connect cross-functional and client teams with clarity, positivity, and accountability.
  • Comfortable managing multiple stakeholders across time zones.
  • Experience in the healthcare agency setting managing MLR/IRB submission, ISI/IRI management and approval cycles
  • PMP, ScrumMaster or other professional training preferred
  • Familiarity with omnichannel orchestration projects via tools like CRM platforms and other marketing automation tools
  • Prior experience with data and identify resolution projects (i.e. LiveRamp, IQVIA, Snowflake, etc.)
The anticipated salary range for this position will be $160,000-$195,000. Salary is based on job-related factors such as: years of relevant experience, qualifications and/or certifications. Spectrum reserves the right to modify this pay range at any given time.
