ABOUT THE OPPORTUNITY

This is a full-time, exempt level position in San Jose, California.  

Destination: Home currently operates in a hybrid office/remote work environment where employees are required to be in the office three days per week (typically, on Tuesdays, Wednesdays and Thursdays).

JOB SUMMARY

Reporting to the Director of Administration and Development, this position manages all gift administration, grants, and contract processes while supporting fundraising operations and cross-departmental coordination across a dynamic, mission-driven organization.  The role partners closely with Leadership, Initiatives, Communications, and Administration to ensure strong donor stewardship, accurate reporting, timely grant submissions, and effective use of data and systems. As a key member of a small and collaborative operations team, this position balances strategic thinking with hands-on execution—supporting proposals, reports, donor engagement efforts, and organizational planning and events.

 

DUTIES AND RESPONSIBILITIES

Development

  • Donor/Funder Prospecting and Stewardship
    • Conducts research, qualifies and helps prioritize donor/funder prospects
    • Creates comprehensive profiles for prospects, including capacity, history of giving, and key relationships
    • Develops donor/funder stewardship and cultivation concepts and ensures implementation, including planning and logistics of virtual and in-person donor development events and other complex activities in support of development objectives
    • Leads the development of all proposals, reports, and updates
    • Tracks and reports on prospect & stewardship activity
    • Partners with Communications to create donor/funder newsletter profiles to increase partnership visibility and donor/funder stewardship
  • Gifts Administration
    • Manages administration of all incoming gifts (processing checks, reconciling gift reports, communications with SVCF, thank you letters, generating and maintaining electronic filings)
  • Data Management and Analysis
    • Oversees the Customer Relationship Management (CRM) system for the organization, including coordination with Communications and Initiatives teams on all data related requests
    • Manages annual Development Plan, including tracking and updating, monthly reporting on status and recommended changes, and quarterly analysis of progress
    • Leads the bi-annual Data and Assets update process for the Development Team  

Grant and Contract Administration

  • Grant Applications
    • Leads the coordination of all public and private grant applications submissions
    • Manages application calendar and deadlines
    • Works with Initiatives Team to secure appropriate project information, including financial, goals/objectives, impact to date, etc. and then drafts requests, proposals, and grant applications
  • Grant Contract Management
    • Manages administration of both government and private grants, including reporting calendar and deadlines and generating and maintaining electronic filings
    • Works with the Initiatives Team to obtain appropriate project information, including data, financial information, and impact, and then submits reports and updates in a timely manner
    • Supports the organization to ensure timely and accurate billing (submission of invoices and backup documentation) of all cost reimbursement contracts and acts as the initial point of contact to coordinate these efforts

Administration

  • Assists with preparing reports, documentation, and presentations, including necessary supporting documentation as needed for internal and external meetings
  • Assists with event planning and meeting coordination, including ordering food and supplies as needed
  • Supports other agency staff as required and requested
  • Supports calendaring, scheduling, arranging travel, and meeting preparation for executive staff, as needed

Other

  • Other related duties as assigned.

QUALIFICATIONS AND REQUIRED SKILLS

  • Bachelor's degree in a related field (e.g. business administration, non-profit management) or equivalent experience required.
  • At least three years of experience in administration, grantmaking, or development roles.
  • Professional and personal alignment with Destination: Homes’s values and mission
  • Proven experience in fundraising and donor cultivation and stewardship.
  • Strong administrative management skills, including budgeting, reporting, and compliance tracking.
  • Familiarity with funding solicitations, award review processes, grant contracting, and grantee relations.
  • Excellent written/oral communication, presentation and listening skills for diverse audiences.
  • Excellent interpersonal skills with an ability to work in a team environment and with diverse groups of people.
  • Ability to multi-task and meet deadlines within designated timeframes, as well as demonstrated resourcefulness in setting priorities, strong organizational skills, and exceptional attention to detail.
  • Ability to work independently, have a commitment to excellent customer service and excel in a deadline-driven, highly collaborative environment involving multiple, simultaneous projects.
  • Ability to maintain confidentiality of sensitive and private data.
  • Demonstrated team player with excellent interpersonal skills.

SALARY AND BENEFITS 

SVCF is committed to offering competitive salaries and comprehensive benefits. The target hiring range for this position is $96,000 to $100,000 per year based on experience, credentials and internal salary equity.
