Role purpose
- Ensure product availability at the up-country distribution sites as per sales forecast, monitoring secondary delivery and managing distribution cost and distribution sites cost as per country objective.
- Facilitate in efficient implementation of processes in all Warehouse Operations encompassing Customer Order Processing, Credit Notes Processing, Sales Reporting and Sales Policies’ implementation through appropriate gSAP support.
- Implement all gSAP control processes ensuring proper maintenance of all gSAP master files and effective administration of rebate agreements and their settlement.
- Work very closely with Distribution and Customer Service team for coordinating of different projects and support to line manager for successful executions.
- Warehouse Manager is sole responsible to ensure Customer satisfaction with on time delivery without quality complains.
- Warehouse Manager will lead the team for developing the customer centricity mindset to improve attitude & behaviour towards customers.
Accountabilities:
Inventory Management
- WM ensures ROFO products on time, 70% by the 1st week of the month and the rest within the month. WM reviews product demand with ZSM as per need. WM asks for ROFO products from Chittagong as per need, considering ROFO. Beyond ROFO products, WM updates ZSM to submit additional requisition to Head of Marketing.
- Maintain Zoho(Sprayer Parts) Inventory.
- Meet stock physical audit (Thrice in a year)
- Ensure Syngenta standard in Extension godown
- Timely ensure space
- Support other department for Seed rework, seed production
- Ensure Seeds storage in DH
- Support to other WH as Central product storage
- Provide Direct delivery to other WH level
Transport Suppor
- Agreement with transport authority is made yearly. For any transport issues, WM connects with IPBP Transport authority to ensure cost-effective distribution.
- Transport KPI evaluation
- Collect transport bills including all charges and submit to Finance as per PO agreement.
- Ensure Transport HSE standards through checklist
Co-ordination with CSM: -
- Update latest situation regarding distribution. Report short-shelf products. Update ROFO status.
- Inform CSM of immediate issues by telephone or email.
- Maintain thorough knowledge of gSAP activities.
- Respond to and deal with customer communications by email, fax, and telephone.
- Submit month-end reports (Route Analysis, Distribution Cost Plan, Distribution Safety, WH HSE Statistics, Safety Observation Data, 12-Month Report, Customer Feedback, Open Order, Order Analysis, OTIF, Reasons for Rejection, Stock Movement, Zoom Inventory).
- Submit budget vs. actual and various statistical analyses
- Submit WH presentation and attend monthly meetings.
HSE & Demonstration
• Warehouse Safety (As per Manual) • Conduct Warehouse HSE risk assessment and improve as per HSE Tracker • Distribution Safety (Vehicle Checklist) • Security Management (Training) • Demonstrate Fire Control and Rescue • Conduct Spillage Control & Agronomic Issue Training • Ensure Training based on HSE Tracker • Conduct DFL Training • Perform HSE audit • Share Syngenta Ethics (CoC) and CoPs • Ensure HSE signage and safety markings • Ensure PTW for any dangerous works • Observe HSE Day and Week.
LEGAL ISSUE:
- Timely renewal all License and Government fees
- Conduct Legal Audit Ensure all legal signages at the WH premises / Godown Meet Agricultural Extension requirement and face their visit
Critical Knowledge and Experiences :
- Bachelor's degree in Business Administration, Supply Chain Management, or related field.
- 8+ years of experience in warehouse management or relevant field
- Proven track record of leading and developing teams.
- Strong leadership skills with the ability to motivate and inspire team members
- Excellent problem-solving and decision-making abilities, with a data-driven approach
- Superior communication and interpersonal skills, with the ability to interact effectively with all levels of the organization and customers
