Position Purpose 

 

The Deadline Specialist plays a critical role in managing and resolving time-sensitive cases with precision and urgency. This team member is responsible for reviewing assigned deadline cases daily, identifying upcoming or urgent deadlines, and ensuring a strategic and collaborative approach with all operations teams to complete all required tasks on time. The ideal candidate will be proactive, organized, and an excellent communicator who thrives in a fast-paced, deadline-driven environment. 

 

Essential Job Functions & Responsibilities 

 

  • Review and manage assigned caseloads daily, identifying all active deadlines and prioritizing cases accordingly. 

  • Ensure all case-related tasks are completed in a timely manner through strategic coordination with cross-functional operations teams. 

  • Act as a central point of contact for deadline-driven cases, facilitating effective communication between departments to remove blockers and maintain momentum. 

  • Track case progress and document updates in case management systems with accuracy and clarity. 

  • Maintain and manage a deadline tracking system to proactively flag upcoming due dates and mitigate risks of delay. 

  • Monitor and escalate potential issues, bottlenecks, or missed deadlines to leadership as needed. 

  • Foster strong working relationships with internal teams to ensure alignment on case priorities and shared goals. 

  • Identify trends, inefficiencies, or risks within the deadline process and recommend improvements or automation opportunities. 

  • Once all deadline-related cases have been worked for the day, manage additional reports and assist the Inventory Control Team with relevant data tasks, ensuring smooth flow of information and resolution of inventory-related issues. 

  • Ensure compliance with internal policies, procedures, and applicable regulations while maintaining high standards of quality and accountability. 

 

Essential Skills, Knowledge & Abilities 

 

  • Strong computer skills, including Microsoft business applications and various reporting software 

  • Exceptional interpersonal and verbal communication skills 

  • Possess a sense of urgency required to work in a deadline driven environment 

  • Keen eye for detail 

  • Strong organizational skills 

  • Deep understanding of Matter Plans and Litify as a whole 

  • Possesses excellent English interpersonal and communication skills, both written and verbal 

 

Minimum Qualifications 

 

  • Bilingual (Spanish English) B2-C1. 

  • Proficient with Microsoft Office Suite or related software. 

  • High School Diploma or equivalent experience. 

  • Solutions oriented 

  • Proficient in analyzing metrics to provide feedback and look for points of improvement
