Data Entry Excel Expert Part time Role

Data Entry - Strong in Excel - 20 hours per week


Location: Roswell, GA

Duration: Long term contract


JOB SUMMARY:

The part time position assists with building and maintaining invoice databases, tracks, codes and process all legal invoices, assists with budget preparation and processes, generates various reports related to legal invoices, law firms, and provide copies of invoices related to litigation and indemnification rights. The position reports directly to the global counsel.


JOB SCOPE:

Responsible for the processing and tracking of all internal legal invoicing and for assistance with preparation of budgets.


KEY TASKS/RESPONSIBILITIES:

1. Assists with building and maintaining invoice databases (regularly) 

2. Track /Code and process all internal global counsel work for invoicing and track payment status (regularly)

3. Track and monitor internal budgets for variances (monthly)

4. Generate various reports related to internal and external spend (as necessary) 

5. Assist with preparation of budgets for both Legal

and IP Depts. (budgets are multicurrency). Includes consolidation of various budgets by category or region (3Q)

6. Provide information on actual amounts incurred from invoices database

by matter, type of work, time period, etc. from invoice database / system(s) (regularly)

7. Prepare expense reports (regularly)

8. Track time submitted by attorneys by business division for allocation purposes (monthly)


OTHER IMPORTANT FUNCTIONS

1. Assist with special projects as needed (frequently)

2. Review budgets for accuracy/completeness (regularly)

3. Maintain confidential information (regularly)


Education Requirements:

Salary commensurate with experience in similar role.


Liaison:

Regional Controller, BU controllers, Accounts Payable, outside counsel, insurers, attorneys within both departments.


Freedom to Act:

Substantial degree of independence and initiative. Should be comfortable working within an established system with and willingness to assist with design and implementation for new systems / tools. Requires ability to meet new challenges and personalities and adapt accordingly.


Problem Complexity:

Requires constant use of analytical skills and problem solving skills.


Experience Requirements:

  • Proficiency in computer applications ( Expert in Excel, Strong PowerPoint) and basic understanding of computer operating systems helpful. Lotus Notes experience helpful.
  • Legal billing experience will be plus
