Responsibilities:
Prepare, review, and maintain a complete and accurate set of customs documentation for import and export operations.
Submit documentation to customs brokers and control the customs clearance process end-to-end.
Ensure correctness and completeness of customs documentation prepared internally or by customs brokers.
Verify customs declarations for correctness, including: HS / CN classification, customs value, Incoterms, country of origin, applied customs procedures.
Act as the main point of contact for customs brokers in Poland.
Oversee and manage cooperation with customs brokers, including: - service quality and SLA control; - invoice verification and payment control; - coordination of contracts and related documentation.
Support communication with Polish customs authorities, directly or via customs brokers, depending on the case.
Handle non-standard, escalated, and sensitive customs cases.
Ensure ongoing compliance with EU and Polish customs and trade regulations.
Monitor changes in EU and Polish customs and trade legislation and ensure timely implementation of relevant updates in operational processes.
Maintain, improve, and develop internal customs-related procedures, instructions, and controls.
Cooperate closely with logistics, supply chain, finance, and legal teams to ensure compliant and efficient customs operations.
Requirements:
Proven experience working with customs clearance processes in Poland
Hands-on experience in preparing, reviewing, and validating customs documentation
Strong understanding of customs procedures, customs valuation, and tariff classification (HS / CN)
Experience coordinating and controlling the work of external customs brokers
Good knowledge of EU and Polish customs legislation
High level of accuracy, responsibility, and attention to detail
Experience with intra-group transactions and transfer of ownership in transit
Knowledge of EORI, AEO, and trade compliance processes
Understanding of international supply chains and logistics flows
Ability to identify customs and trade compliance risks and support their mitigation in cooperation with internal stakeholders
Ability to work closely with logistics, finance, and legal teams (e.g. customs value, Incoterms, documentation consistency)
English at a working/professional level
Polish language proficiency is required for interaction with local authorities and brokers
