**Key Responsibilities:**

- Greet customers warmly in person and over the phone, answering inquiries about services, repair estimates, and timelines.

- Schedule appointments for estimates, repairs, and vehicle pickups/deliveries, coordinating with technicians and shop managers.

- Translate customer repair needs into detailed work orders, creating and maintaining accurate files for each job.

- Provide regular updates to customers on repair status, warranties, maintenance requirements, and any additional recommendations.

- Handle customer complaints professionally, escalating issues as needed and ensuring high satisfaction through follow-up surveys (e.g., CSI/NPS).

- Manage administrative duties, including accounts receivable, collecting payments, processing paperwork, and maintaining a clean and organized front office.

- Assist with vehicle deliveries, ensuring customers understand features, warranties, and next steps.

- Perform other secretarial tasks such as filing, data entry, inventory tracking for office supplies, and supporting the shop team with communication.

Requirements

**Qualifications and Requirements:**

- High school diploma or equivalent; previous experience in customer service, administration, or automotive industry preferred.

- Excellent communication and interpersonal skills, with the ability to negotiate, educate customers, and handle high-volume interactions.

- Strong organizational skills and attention to detail for managing schedules, files, and payments.

- Proficiency in basic computer software (e.g., Microsoft Office, scheduling tools) and the ability to learn shop-specific systems.

- Ability to work in a team environment, multitask during peak hours, and maintain a positive attitude under pressure.

- Knowledge of auto body repair processes or willingness to learn is a plus.
