We are seeking a dedicated and passionate individual to join our team in supporting the effective clinical coordination of the International Patient Program at University Health Network (UHN). This role focuses on assisting clinical coordinators in facilitating seamless communication and collaboration between both internal departments and external stakeholders.

As part of a patient-centered team, the successful candidate will exercise considerable judgement/independence and utilize medical terminology/moderate advanced computer applications and functions to provide administrative support to our team.  The ultimate goal of the successful candidate is to ensure an exceptional experience for international patients as they navigate care across UHN.

Duties

  • Serve as the primary point of contact for patient inquiries and provide confidential administrative support to the International Patient Program team.
  • Complete patient registration and maintain accurate patient records within electronic medical record systems.
  • Track referrals and support data collection and reporting activities.
  • Provide general calendar and schedule management for the team.
  • Act as an office liaison for internal departments and external partners.
  • Collect patient payments and coordinate with Finance to ensure timely documentation.
  • Manage office supplies, equipment, and general administrative needs.
  • Respond to internal and external inquiries received by fax, telephone, and email, including inquiries related to patients, events, and general information.
  • Perform cross-functional duties and other responsibilities consistent with the job classification, as assigned.
  • Work in compliance with the Occupational Health and Safety Act and related regulations, reporting hazards, deficiencies, and potential violations promptly.
  • Completion of Grade 12 or recognized equivalent.
  • Completion of a recognized post-secondary diploma in medical or business secretarial arts preferred.
  • Minimum of two (2) years of related customer service or administrative support experience preferred.
  • Proficiency with MS 365 and experience with word-processing, database, and spreadsheet applications.
  • Demonstrated understanding of private insurance processes in a healthcare setting.
  • Excellent organizational and time-management skills.
  • Strong interpersonal and customer service abilities.
  • Exceptional verbal and written communication skills.
  • Strong teamwork, problem-solving, and conflict-resolution skills.
  • Good knowledge of healthcare practices, office procedures, and organizational standards.
  • Demonstrated ability to produce high-quality work that meets Hospital standards.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work well under pressure and exercise sound judgment in complex or challenging situations.
  • Knowledge of medical terminology preferred.
  • Experience working in a healthcare environment preferred.
