Corporate Secretary Executive - (Remote- India/ Malaysia)

We operate 3 business segments:

  1. Corporate Secretary: Automating the company incorporation, secretarial, filing, Nominee Director, mailroom and immigration processes via custom online robots and SleekSign.  We are the market leaders in Singapore with ~5% market share of all new business incorporations
  2. Accounting & Bookkeeping: Redefining what it means to do Accounting, Bookkeeping, Tax and Payroll thanks to our proprietary SleekBooks ledger, AI tools and exceptional customer service
  3. FinTech payments: Overcoming a key challenge for Entrepreneurs by offering digital banking services to new businesses

We are looking for an amazingly well-rounded Corporate Secretarial Executive to help quickly grow our business in Singapore.

You will have a passion for understanding business owners, and an ability to be proactive in taking the extra mile in providing World Class customer service and professional accounting advice to our clients. You will have the opportunity to develop your technical knowledge and work with business across multiple industries.

Mission

You are expected to prioritise tasks effectively and perform your responsibilities efficiently while working under supervision and managing assigned client matters accurately and in a timely manner.

Outcomes

  • You will report to the Senior Corporate Secretarial Executive, Corpsec Manager, or Co-Heads of Corpsec, as determined by organisational structure.
  • You will maintain clear and responsive communication with clients and be available to support the execution of assigned corporate secretarial duties.
  • You will be responsible for delivering quality service to clients within your portfolio, ensuring timely completion of tasks, accurate billing support, proper documentation, and adherence to client service standards.
  • You may be appointed as named secretary for clients within your portfolio and are expected to perform related responsibilities with guidance and supervision.
  • You must plan and execute your work effectively in accordance with the agreed scope of services and statutory deadlines.
  • From the start of your engagement, you are expected to demonstrate foundational knowledge of the Singapore regulatory framework, including but not limited to the Companies Act 1967, AML/CFT requirements, and ACRA compliance matters, particularly as they relate to private limited companies.
  • You are required to develop a solid understanding of client operations and business objectives to support accurate and effective execution of assigned tasks.
  • You will collaborate with internal stakeholders to support operational efficiency, accurate statutory filings, workflow improvements, and compliance with regulatory deadlines.
  • You must uphold professional standards at all times, maintain strict client confidentiality, and contribute to continuous improvement in processes and knowledge development.

To do this, you will have: 

  • Recognised degree/diploma in Business Administration / Corporate Services / Legal Studies or equivalent.
  • Professionally certified with CGQP qualification and a member of CSIS is preferred.
  • Should you be comfortable with being appointed as the named secretary for clients in their portfolio.
  • Preferably more than 5 years experience in client facing and handling complex corporate secretarial matters including experience being RQI and named company secretary, and attending board of directors meetings.
  • Proven track record of working in a fast paced and technology driven organisation.
  • Good understanding of Singapore regulatory compliance.
  • Hands-on experience with Google workspace and Microsoft applications.
  • Resourceful and experience with various productivity software applicable to facilitate daily work
  • Self-motivated, positive attitude, proactive, highly-organised and detail-oriented.
  • Good interpersonal and communication skills.
  • Able to adapt to VUCA way of thinking and contribute to process improvement efforts.
  • Able to meet tight deadlines.
  • Immediate availability is preferred.

The interview process

The successful candidate will participate in the below interview stages. We anticipate the process to last no more than 3 weeks from start to finish.

Whether the interviews are held over video call or in person will depend on your location and the role. 

Introductory Call ( TA Screening)

A 30-minute video call with a member of our HR team to discuss your application, explore your career background, and understand your expectations for the role.

Technical Round

A ~60 minute chat with the Hiring Manager. They’ll discuss your last 1-2 roles to understand your experience in more detail.  

Soft Skills Assessment

A ~45 minute chat with a leadership team, where they will dive into some of your recent work situations to understand how you think and work.

Offer + reference interviews

We’ll make a non-binding offer verbally or over email, followed by a couple of short phone or video calls with references that you provide to us.
