The Corporate Office Administrator is primarily responsible for administrative duties and support to the Executive team and other department leads as necessary.  Responsibilities include: booking meeting rooms inside the Administration Office for management and staff, composition of general correspondence and development of PowerPoint presentations and Excel spreadsheets.  This position will also process approved travel and corporate expense reports.  The position maintains the Administrative Building supply room, ensuring appropriate inventory of supplies, and ensuring that all office equipment is in working order.  Other administrative duties include, but are not limited to: typing, filing, photocopying, faxing, mailing, scanning and data entry.

The Corporate Office Administrator's responsibilities include:

1.    Provides administrative support to the Executive Director of People & Corporate Affairs and to the PCEO and to the Executive Leadership Team as needed and directed by:

  • Presenting a positive and professional image of the corporate office to all visitors, suppliers, inquiries, and other people
  • Providing administrative support to the office by scheduling meetings, maintaining daily calendars, composing correspondence, spreadsheets, PowerPoint presentations, managing agendas and travel arrangements, etc.
  • Preparing basic signage and other documents as required.
  • Preparing, reviewing documents, reports, and correspondence for proper formatting, content, grammar, and spelling, and making edits as necessary.
  • Processing approved travel requests, corporate expense reports for reimbursement, and invoices as per Finance and Administration guidelines.
  • Preparing financial, expenditures and payment authorization forms, and administrative documents for authorization, such as cheque requisitions, purchase orders, credit card reconciliations, etc.
  • Receiving and screening inbound telephone calls, deliveries, and visitors for the  Administration Building.

2.    Maintaining the office files as well as supply, staff, and Board rooms, ensuring appropriate inventory of supplies and office equipment are in working order by:

  • Maintaining general office files, including vendor files, contracts, and other files related to the company’s operations.
  • Tracking and maintaining an inventory of office supplies and pre-printed stock. Orders photocopier paper, and other stationary supplies for the Administration office.
  • Requesting photocopier reads and administer budget chargebacks to appropriate departments.
  • Ordering toner for copiers, printers, fax machines. Maintains outgoing mail equipment and coordinates the ordering of postage and sealants.

3. Assists with the coordination of events and meetings hosted by the office, including but not limited to:

  • Board of Director, stakeholder and staff events for various reasons throughout the year.
  • Maintains hosting client records pre- and post-event.
  • Assists with stakeholder invites and the dispersal of event tickets for stakeholders, staff, etc.

 

4.   Assisting with the administrative portions of any corporate goals and KPI’s of the team, as well as the administration of metrics for the team’s deliverables.  This would include, but not limited to:

  • Assist administratively relative to Executive team around safety compliance targets.
  • Maintain records for the Executive Office relative to Government Relations and Stakeholders strategy and engagement.

5. Performs other duties as defined and assigned by the Executive Office to support the organization.

Shift: (Two vacancies to be filled by two candidates committing to the following schedule)

Monday and Tuesday 8:00 a.m. - 4:30 p.m.

Wednesday through Friday 8:00 a.m. - 4:30 p.m.

Please note: Shift start and end times/days may vary based on operational requirements.

Wage: $15.80 - $23.82

Requirements

Education and Experience

·         Grade Twelve (12) and completed Office Education Diploma/Certificate required, along with a minimum of 3 years direct experience supporting senior-level leadership.  An acceptable combination of related training and experience may be considered.

·         Demonstrated proficiency in a variety of computer software applications, including Microsoft suites.

·         Demonstrated experience handling confidential information.
