Job Summary


The Corporate Legal Assistant, under the direction of the In-House Counsel, will provide essential administrative support, organizational, and scheduling support to the Sales and Legal teams. The role is integral to maintaining efficiency, will play an integral role in supporting the company's contract lifecycle, reviewing and organizing commercial contracts and ensuring communications are promt and clear.

Job Duties


  • Perform initial intake, logging, and comprehensive data entry of all commercial agreements (e.g., vendor, service, customer contracts) into the internal contract management tools.
  • Manage and maintain the legal filing system, ensuring organization of digital records. This includes proofreading documents, such as typographical errors, formatting consistency, and complete, accurate field population for data export.
  • Track the status of documents and coordinate the contract execution process. This involves facilitating timely communication and document exchange between the legal team, internal stakeholders, customers, and prospects via email / phone / video, and  ensure contract requests are addressed in a timely manner.
  • Maintain the centralized folder for standard contract templates, forms, and business terms, ensuring the legal team has immediate access to current and accurate documents. 
  • Facilitate and coordinate communication and document hand-off’s  with cross-functional teams during all stages of the contract process.
  • Drive proper document retention by reviewing and summarizing key terms in completed contracts and utilizing the internal contract retention tool.
  • Conduct research on specific provisions as needed. 
  • Format, organise  and maintain the centralised library of contract templates and standard operating procedures.
  • Maintain contract records and documentation in the company's CRM and Cloud.


Job Requirements


  • Bachelor's degree in Business Administration, Legal Management or related education required
  • 1 + years' experience in contract administration or related field required
  • Base level understanding of basic contract law and contracting principles
  • Strong calendaring, organizational, and multitasking skills required
  • Proficiency in Microsoft Office (Work, Excel) and Google Workspace (Gmail, Calendar, Drive, Sheets)
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to work collaboratively with all levels of the organization and demonstrate a team-oriented work style
  • Superior ethics and confidentiality
