Corporate Administrative Assistant

We are seeking a Corporate Administrative Assistant to support daily office operations in San Jose, CA. This full-time position is ideal for a dependable, organized, and detail-oriented professional who enjoys working in a fast-paced professional services environment. The Corporate Administrative Assistant will help maintain efficient administrative workflows while providing high-quality support to staff and clients in San Jose.

Candidates should have at least two years of administrative experience, preferably within a professional office, accounting, or client service setting. This role requires strong multitasking ability, responsiveness, and a commitment to professional communication standards.

Key Responsibilities:

  • Draft and prepare correspondence, reports, and formal office documents.
  • Manage incoming mail, emails, and client correspondence by scanning, routing, and filing materials.
  • Assemble completed tax return packages and notify clients regarding payment deadlines.
  • Maintain accurate organization of both physical and electronic client files.
  • Schedule appointments, meetings, and office activities for staff and clients.
  • Provide general administrative and clerical support to professional team members.
  • Greet and assist clients visiting the office in San Jose.
  • Ensure confidential client information is handled with professionalism and discretion.

Requirements

  • Minimum of 2 years of administrative experience in a professional or service-oriented office environment.
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
  • Strong written and verbal communication skills.
  • Highly responsive with the ability to address client and office needs promptly.
  • Exceptional organizational skills with strong attention to detail and time management ability.
  • Dependable, professional, and committed to delivering excellent client service.
  • Willingness to work most Saturdays during the March–April tax season.
