The Contracts Specialist will oversee the administration and lifecycle of sale contracts, maintain organization, and ensure compliance of the contractual agreements between potential and existing clients and CivicPlus. The Contract Specialist, reporting to Corporate Counsel, will need to maintain extensive knowledge and understanding of product offerings, internal processes and best practices changes.

What You’ll Do
As a Contracts Specialist you will:
- Monitor incoming sales requests for administrative task fulfillment, including form signing, registrations and insurance requests.
- Own and manage the sales contracting process – from drafting to finalization and processing with the company CRM.
- Take part in client contract negotiations, maintaining decorum and customer service while protecting the interests of the company.
- Create, manage, and update contract-related documents and templates including, but not limited to, Master Service Agreement (MSA), Statement of Works (SOW), Renewals, and Amendments, for all CivicPlus solutions.
- Assist in documenting and drafting updates to internal department policies, processes, and best practices.
- Facilitate and implement contract language changes within the CRM.
- Manage processes and business partner relationships associated to contract processing needs of Insurance Certificates, vendor affidavits, business licenses, etc.
- Assist with the application, management, and renewals on procurement vehicle contracts such as GSA (General Service Administration), SHI, TIPS, etc.
- Evaluate and respond to RFP (requests for proposals) requests for legal and compliance requirements consistently and timely.
- Utilize critical thinking to analyze complex contract requirements, special provisions, pricing, internal approvals, and terms and conditions to ensure compliance with appropriate laws, regulations and policies limiting overall business risks.
- Creatively consult with sales and/or internal business partners on alternative contract options to meet needed requirements.
- Communicate, educate, and train on contract policies and best practices to internal business partners. Participate in cross-functional projects to support business objectives and enhance contract management capabilities.
- Continuously update Legal Department files.
- Manage increasingly competing priorities and deadlines while providing outstanding support to our internal partners and external customers.
- Utilize new technologies or tools to streamline contract management processes.
- Interpret the language of existing agreements to provide clarity and guidance for other departments.

Preferred Qualifications:
- Some travel may be required
- Legal background preferred
- 3 years + contract administration / facilitation experience preferred
- Demonstrate excellent attention to detail
- In-depth knowledge of procurement regulations for government market
- Strong time management skills and ability to work multiple projects at once
- Able to work at a computer and monitor (sitting and standing) for extended periods of time
- Ability to complete work in an acceptable timeframe; manage a variety of detailed tasks and responsibilities simultaneously and with accuracy to meet deadlines, goals, and objectives; satisfy internal and external customer needs related to the job.
- Must be able to focus for long periods of time
- Must be able to read and view screens for long periods of time
Compensation and Benefits

Estimated Salary Grade Range: $54,100 - $75,700
- The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience and is based on a 40-hour work week.
