Position Summary:
We are a 40+ year low-voltage infrastructure contractor supporting commercial, industrial, and mission-critical projects. We are seeking a detail-oriented Construction Accounting & Purchasing Support Specialist to assist our accounting and operations teams with purchase order processing, vendor coordination, and accounting data entry related to active construction projects.
This role is focused on transactional support and process execution and will work closely with project managers, purchasing, and accounting to ensure materials and services are ordered, documented, and recorded accurately.
Key Responsibilities
Purchase Order & Project Support
- Create, enter, and issue purchase orders for construction materials, equipment, and subcontracted services
- Assign purchase orders to the correct project and cost code
- Verify pricing, quantities, lead times, and vendor information prior to issuing POs
- Send purchase orders to vendors and confirm receipt
- Track purchase order status and follow up on acknowledgements and delivery dates
- Maintain organized digital records of purchase orders and related documentation
Accounts Payable & Accounting Support
- Enter vendor invoices and match invoices to purchase orders
- Flag discrepancies between invoices, purchase orders, and receipts for review
- Assist with accounts payable data entry and invoice tracking by project
- Maintain vendor files, lien waivers, and supporting documentation
- Support job cost reporting by ensuring accurate and timely data entry
Construction-Specific Administrative Support
- Coordinate with project managers and field staff to obtain missing documentation
- Assist in maintaining job files in accounting and project management systems
- Help enforce purchasing and documentation procedures across projects
- Perform other accounting or administrative tasks as assigned
Requirements
Qualifications
- 1–3 years of experience in construction accounting, purchasing, or bookkeeping
- Experience working with project-based or job-cost accounting systems
- Strong attention to detail and ability to manage multiple projects simultaneously
- Proficiency in Microsoft Excel or Google Sheets
- Strong written communication skills
- Familiar with Viewpoint Vista tool
Preferred Experience
- Low-voltage, electrical, or general construction industry experience
- Familiarity with cost codes, job costing, and project budgets
- Experience with accounting or ERP software
- Experience supporting purchase order workflows in a construction environment
Working Conditions
