As a Marketing Assistant you will play a key role in supporting and managing relationships with host agency partners, ensuring smooth coordination across internal teams and external stakeholders. This role is critical to the execution of marketing initiatives, events, agreements, and reporting that drive partner success.
This is a full-time role within the Sales Department, reporting to the Team Lead of Sales for NORAM, but you will be working with USA clients.
This is a remote vacancy open to candidates residing in LATAM.
Job Responsibilities:
- Serve as a secondary point of contact for assigned host agency partners;
- Attend all scheduled host agency meetings and ensure timely completion of follow-up actions;
- Log all partner communications and activities accurately in the CRM system;
- Maintain organized and up-to-date records of all host agency documentation and agreements.
- Manage and maintain the master host agency marketing schedule;
- Oversee the calendar of tradeshows and conference events, ensuring sufficient lead time for planning, materials, and internal approvals;
- Work closely with the marketing team to develop and coordinate collateral for events, special promotions, and host-specific marketing initiatives;
- Collaborate cross-functionally to develop creative, “out-of-the-box” marketing initiatives to stand out with host agency partners and independent contractors (ICs).
- Generate Supplier Marketing Agreement Addendum (SMAA) agreements and manage the end-to-end signature process;
- Procure, verify, and maintain required host agency documentation, including W-9s, banking details, and industry accreditations.
- Produce and distribute monthly host agency performance reports to partners;
- Prepare and support quarterly host agency partner revenue reports;
- Ensure reporting is accurate, timely, and aligned with both internal and partner expectations.
Requirements

Relevant Experience. 2-3 years of experience in partnerships, account coordination, marketing coordination, or travel-industry-related roles (preferred);

Organizational Skills. Strong organizational and project management capabilities, with the ability to manage multiple priorities simultaneously;

Language knowledge. Fluent in English;

Communication Skills. Excellent written and verbal communication skills;

Technical Skills. Experience working with CRM systems, Google Suite, and Tableau;

Collaboration. Proven ability to work cross-functionally with sales, marketing, and operations teams;

Personal Skills. Detail-oriented, proactive, collaborative, and creative mindset.
- Familiarity with trade-shows, conferences, and event marketing is a plus.
