Work Environment:
- This position is Hybrid Based; Naperville, Illinois with a minimum of 3 days onsite.
- Working Hours: Total 37.5 actual working hours per week, or 7.5 hours per day (not including lunch). You will be entitled to 1 hour unpaid lunch break per day, hence the full working day is 8.5 hours per day or 42.5 hours per week.
- It may be requested to work overtime and weekends for special program events as required
About this Role
This role is to assist with overseeing the day to day operations and management of the digital laboratory to ensure high-quality digital slide production, technical expertise in anatomic pathology workflows, ensure turn around times and regulatory standards are upheld at all times. The supervisor provides technical expertise, staff leadership, and process optimization to support clinical, research, and pharmaceutical digital and anatomic pathology initiatives.
Responsibilities:
- Supervise daily digital pathology operations, including whole slide imaging (WSI), image ingestion, data transfer, image upload and archiving.
- Maintain and troubleshoot digital pathology hardware and software including maintenance and calibration(e.g., scanners, image viewers, automation).
- Supervise the implementation and validation of new equipment.
- Receive, accession, scan and digitize all stained slides and upload in preparation for pathologist review and reporting.
- Perform and oversee quality control on scanned images (focus, color accuracy, tissue completeness).
- Review and audit transcription data for accuracy, consistency and adherence to quality standards.
- Manage slide scanning queues, turnaround times, and throughput requirements.
- Oversee the daily logistics operations, including receiving, storage, packing, shipping, and transportation.
- Monitor inventory levels and assist with cycle counts, stock rotation, and reconciliation.
- Ensure all logistics operations meet quality, safety, and regulatory requirements (e.g., OSHA, ISO standards).
- Respond to incoming calls, voicemails, and email tickets requesting assistance with the technology platform
- Basic troubleshooting of customer support problems
- Track and document technical problems
- Escalate technical issues to other team members when appropriate
- Ensure accurate capture of pathology services for billing including pathology reporting, special stains, IHC, molecular tests, consultation services and digital pathology charges.
- Collaborate with coding and billing teams to verify correct CPT/ICD coding and documentation.
- Ensure turnaround times and KPIs are adhered to at all times
- Develop, implement, and monitor SOPs for pathology processes.
- Ensure adherence to regulatory standards (e.g., CLIA, CAP, GxP, OHSA, HIPAA as applicable) and maintain patient records in accordance with all data protection protocols.
- Identify process bottlenecks and implement improvements to increase efficiency, accuracy, and throughput.
- Track and resolve QC issues; maintain documentation for audits and inspections.
- Ensure version control, data integrity, and secure handling of digital pathology datasets.
- Mentor team members to ensure high productivity and adherence to standards.
- Analyze workflow bottlenecks and implement improvements to enhance efficiency and reliability.
- Create staffing schedules and manage staffing levels and workload distribution to ensure effective operations and adequate coverage during people workloads.
- Orient and train employees, verifies their competency, and identifies opportunities for skill development through teaching and continuing education programs.
- Collaborate with cross functional teams to optimize system performance and interoperability.
- Assist with out of office hours support when required
- Assist with Research Pathology technical support as required
- Act as Responsible Person/Supervisor in absence of Manager
- Delegation of lab tasks as assigned by Manager/in the absence of Manager
- GLP and other regulatory responsibilities (S.O / D.A.)
- Principal Investigator for Good Lab Practices
- Dedicated support for other functional roles
- Comply with applicable health and safety requirements
Required Skills and Experience:
- Bachelor’s Degree in Pathology, Laboratory Technology, Healthcare Administration, or related field of study.
- ASCP certification (HT, HTL, CT, PA, or related) strongly preferred.
- Experience with LIS systems is an advantage.
- Familiarity with digital pathology systems and image management tools.
- Experience with medical billing, CPT/ICD coding, and revenue cycle processes in pathology.
- Demonstrated leadership skills and/or people management skills/qualification
- Strong communication skills
- Basic IT troubleshooting experience
- Experience working with an electronic documentation system
- Organized and diligent with activities
