We are seeking a highly organised and proactive Clinical Staffing & Training Coordinator to support the recruitment, onboarding, training coordination, and deployment of clinical staff across EMS Healthcare’s research projects and mobile healthcare services. 

This role plays a key part in ensuring that clinical teams are recruited efficiently, onboarded compliantly, appropriately trained, and available to meet project timelines and operational requirements. The postholder will work closely with the Director of Staffing, Clinical Operations, and HR, acting as a central coordination point for staffing and training activity. 

 Recruitment & Workforce Coordination 

  • Support recruitment for clinical roles including but not limited to Research Nurses, Healthcare Assistants, and mobile Research unit staff 
  • Conduct initial candidate screening and telephone interviews 
  • Coordinate interview scheduling and manage candidate communications throughout the recruitment process 
  • Maintain accurate recruitment trackers and pipelines aligned to project mobilisation plans 
  • Track staffing requirements against live and upcoming projects 

Onboarding & Compliance 

  • Coordinate end-to-end onboarding for new clinical starters 
  • Liaise with HR to ensure employment checks, contracts, and compliance requirements are completed 
  • Ensure onboarding documentation and records are complete and maintained accurately 
  • Act as a point of contact for new starters during the onboarding process 

Training Coordination 

  • Coordinate mandatory and role-specific training for clinical staff (e.g. GCP, project-specific training, mobile unit inductions) 
  • Maintain training records and monitor training completion across the clinical workforce 
  • Liaise with Clinical Operations and senior clinical staff to organise and schedule training sessions 
  • Support training logistics including session coordination, materials, attendance tracking, and follow-up 
  • Respond to training-related queries from clinical staff 

Deployment & Operational Support 

  • Support deployment planning to ensure appropriately trained clinicians are available for projects 
  • Maintain a “ready-to-deploy” pool of trained and onboarded clinical staff 
  • Provide regular updates to the Director of Staffing and Clinical Operations on recruitment, onboarding, and training activity 
  • Support Clinical Operations with staffing cover during periods of increased demand or recruitment pressure 

Service Improvement 

  • Contribute to continuous improvement of recruitment, onboarding, and training coordination processes 
  • Support the development and maintenance of standardised workflows, trackers, and documentation 

Requirements

Experience- Essential  

  • Experience in recruitment, workforce coordination, onboarding, or training coordination 
  • Strong organisational skills with the ability to manage multiple priorities 
  • Excellent written and verbal communication skills 
  • Confidence liaising with clinical, operational, and HR stakeholders 
  • High attention to detail with a compliance-focused approach 

Experience – Preferable 

  • Experience working in a healthcare, clinical research, or regulated environment 
  • Familiarity with clinical workforce onboarding or mandatory training requirements 
  • Experience supporting operational teams in fast-paced environments
