The Clinical Scheduling Coordinator is responsible for delivering an exceptional, seamless experience for all Atria Members through optimized clinical scheduling. This role manages the complex, real-time coordination of advanced diagnostic and clinical appointments to ensure efficient workflows, optimal resource utilization, and timely communication between clinical and administrative teams. Acting as the central liaison for all scheduling logistics, this position directly contributes to Atria’s high standards of member care and satisfaction.

About The Role

Real-Time Scheduling Coordination & Clinical Communication

  • Diagnostic Scheduling Oversight: Coordinate and manage scheduling templates and blocks for all laboratory procedures and imaging exams, ensuring timely appointments across all radiology modalities and alignment with staffing levels
  • Workflow Monitoring: Proactively monitor daily real-time schedules for all modalities, maintaining consistent communication with clinical teams to anticipate and resolve scheduling issues
  • Add-On Exam Coordination: Review and approve daily add-on exams, integrating them into existing schedules with minimal disruption
  • Clinical Information Relay: Facilitate accurate communication of clinical details—such as indications, history, and pathology workups—from Care Coordinators/Pods to Radiologic Technologists to support appropriate exam protocoling
  • Real-Time Appointment Management: Collaborate in real time with Charge RNs, Technologists, and clinical leaders to manage schedule adjustments, minimize delays, and maintain on-time appointments


Standby Work Queue Management & Process Systematization

  • Work Queue Creation and Oversight: Develop and supervise dedicated exam scheduling work queues within Athena to efficiently track and manage all lab and radiology orders
  • Expedited Scheduling: Prioritize and expedite scheduling based on clinical urgency and member needs.
  • Cancellation and Open Slot Management: Systematize the process for filling open imaging slots or cancellations to maximize efficiency and member convenience.

Interdisciplinary Liaison & Service Excellence

  • Care Coordinator Liaison: Serve as the primary point of contact between Care Coordinators and clinical teams for all scheduling inquiries
  • Workflow Regulation: Ensure consistent communication and coordination across interdisciplinary teams, including ACPs, nursing, radiology, lab, and care coordination
  • Resource Coordination: Align clinical resources and staffing to meet imaging and exam needs
  • Customer Service & Reporting: Support member satisfaction initiatives, assist with audit reporting, and generate scheduling and appointment data reports as needed

Compensation:

$85,000 - $105,000

Requirements

  • RN preferred; Bachelor’s degree strongly preferred.
  • Minimum of 2–3 years of experience in a high-volume medical scheduling, patient access, or clinical coordination role
  • Experience in private practice, concierge medicine, or acute care environments preferred.
  • Strong background in complex diagnostic scheduling (e.g., OR, Radiology, Lab) highly desirable
  • Proficiency in electronic medical record (EMR) systems, especially Athena or comparable scheduling/patient management platforms
  • Proficient in Google Workspace (Docs, Sheets, Calendar, etc.)
  • Organizational Skills: Demonstrated ability to manage multi-modality schedules and prioritize tasks in a fast-paced environment
  • Communication: Excellent verbal and written communication skills with the ability to convey clinical information clearly and professionally
  • Problem-Solving: Strong ability to identify scheduling conflicts and implement effective, member-centered solutions
