The Clarity Clinic Operations Manager plays an essential role in executing the Clinical, Operational and Financial needs of the practice(s). This role requires an individual who can lead a diverse team, communicate impactfully and enable the growth of the organization. Within the clinic, you will work closely with our Psychiatrists, Advanced Practice Providers, Psychotherapists and Therapists and lead a team of Patient Care Coordinators. This role requires intercompany collaboration with our HR, Billing, and Technology departments. The Clinic Operations Manager will report to the Director of Operations, working closely to implement new initiatives and process improvement opportunities.
Clinic Location (s): The Clinic Operations Manager will have oversight of two (2) adjacent clinics leading the operations team(s) and collaborating with the clinical staff.
Role Overview:

As Clinic Operations Manager (Multi-Site), you will oversee the operational performance of 2 clinics, each with a Front Desk Manager and up to 8 Patient Care Coordinators. You will ensure staff accountability, smooth workflows, and operational excellence, partnering with Clinical Directors and APP Leads to support prescribers and therapists.
This is a high-autonomy role: you will run the clinics operationally while reporting KPIs and improvement strategies to the Director of Operations. This is not a clinical role, so healthcare experience is helpful but not required — we are looking for candidates with strong operations, leadership, and team management experience, including retail, hospitality, or multi-site service industries.
Responsibilities:
Operational Leadership:
- Oversee daily clinic operations for 2 sites, including front desk, scheduling, and Patient Care Coordinator teams.
- Implement and maintain standard operating procedures to ensure efficiency and consistency.
- Partner with Clinical Directors and APP Leads to ensure prescribers are supported operationally.
Staff Management & Accountability:
- Supervise Front Desk Managers and Patient Care Coordinators.
- Ensure accountability for performance, attendance, and workflow.
- Conduct regular coaching, retraining, and performance reviews.
Multi-Site Coordination:
- Be present on each clinic site (3 days per week at one site, 2 days at the other, rotating weekly).
- Ensure operational consistency across sites, including scheduling, patient flow, and KPIs.
KPI Ownership:
- Track and report metrics such as patient census, provider fill rates, appointment scheduling efficiency, and staff performance.
- Use data to implement process improvements and operational solutions.
Team & Culture Building:
- Build a positive, accountable, and motivated operational team.
- Develop onboarding, training, and operational policies for front desk and patient care teams.
Qualifications:
Required:
- 5+ years of operations or multi-site management experience (healthcare or other industries like retail, hospitality, fitness, or service).
- Demonstrated ability to manage and develop teams across multiple locations.
- Strong analytical and KPI-driven mindset.
- Excellent communication, delegation, and follow-through skills.
- Ability to manage flexible hours to support clinic operations (clinics open 8am–8pm).
Preferred:
- Bachelor’s degree in business, healthcare administration, or related field.
- Experience implementing processes and standard operating procedures.

Full Time Salary: $95,000 - $105,000 (commensurate to years of experience)
